Access Services Team Meeting Ground Rules

Interruptions

  • emergencies only
  • announce expected interruptions

    Attendance

  • quorum is 7(3 can be absent, but not 4)
  • make every effort to attend
  • let the reflector or someone on AST know if you are/will be out
  • check for future absences at each meeting
  • wait 10 minutes max for a quorum before disbanding
  • Participation/Courtesies

  • wait your turn
  • don't interrupt
  • keep comments to one or two points
  • express your concerns and disagreements
  • respect one another
  • speak up, open up
  • don't take things personally
  • respect professionalism & expertise
  • bring enough copies of hand-outs
  • ask for a break when feeling a high level of discomfort
  • facilitator will keep discussion on track
  • keep an open mind
  • assume good will
  • look for the positive in others' ideas

    Promptness

  • start on time
  • end on time

    Confidentiality

  • discretion regarding opinions expressed in meeting and on the reflector
  • agree on what's included in the minutes
  • don't open discussion to wider audience until team okays

    Assignments

  • do them in a timely manner
  • share workload
  • be realistic about workload

    Meeting Management

  • pre-assign roles: if you know you will be absent, you will find a substitute
  • plan next agenda at end of each meeting
  • the facilitator compiles the agenda and sends call before meeting
  • team leader assists in finalizing the agenda
  • follow meeting guidelines
  • notetaker submits draft minutes to team within one week
  • submit minutes corrections to notetaker within 3 business days of draft minutes being sent
  • after approval, notetaker sends minutes to webmaster who posts the minutes on the web
  • webmaster sends an email announcing the minutes to all staff before the next AST meeting
  • decision making: the team strives for consensus and fact-based decision making while individual tools will be applied as necessary
  • meeting evaluation: at least quarterly
