Meeting Minutes: Collection Management Team Tuesday, July 13, 2004 1:00-3:30 PM, McKeldin 7121 Attending: M. Burright, Z. Diaz, K. Hahn, H. Pedersoli, B. Schuster (note-taker), J. Siar I. Agenda Review No changes to the agenda II. Introduction of Beth Schuster, new Collection Management GA Outcome: introductions all around. III. Aleph reports: Marlene Vikor, Tech Services Discussion of New Book report developments and possible timeline for rollout. Because a new Accession Date field is required to store the data, thus requiring programmer resources, it isn't clear when this can be done due to Aleph version migration. An ad hoc report would then need to be created, for which specs must be developed. Existing monthly reports from Aleph were discussed. Outcomes: CMT will request the creation of the Accession Date field prior as soon as possible. At least Karla and possibly other CMT members will attend a meeting Marlene is convening for USM folks to discuss Aleph reports and collection management needs. Brown bag lunches will be scheduled in August with training and discussion of the usefulness of existing Aleph monthly reports for collection management. CMT will compare last year’s Report Wish List with reports that have been created in the interim to determine the new reports’ usefulness and inform future discussions of reports needed for collection management. IV. FY05 Budget update Update on current budget situation and discussion of handout. Outcomes: Karla is making the rounds of the Collaboratives to review the FY05 budget. There is still some uncertainty about what the materials budget for FY05 will be. However, the Provost has increased base funding by $400,000 and given $100,000 in addition one-time money making serial cancellations unnecessary for FY05. V. Journal fund reports for FY04 Reports for journal lines are coming soon, but require manipulation prior to dissemination. Outcomes: Karla will send CMT members a preliminary version of the report by Friday, July 16th for review and clarification. The complete journal fund reports should be available to collection managers by Friday, July 23rd (hopefully sooner). Collection managers should review all titles on their fund(s). To correct any titles on the wrong fund number, email Jan Siar with the title, PO number, old fund and new fund by Friday, August 27th. VI.
