Online Ordering: Blackwell's Collection Manager



Steps | Notes | Supporting Documentation




Step 1. Log into Collection Manager.

Step 2. Search or browse the database as desired.

Step 3. Click on Request under the desired title and edition.

Step 4. Complete the request form. Fill in the fields as follows:
  • Customer Code - will already be populated and does not need to be changed.
  • Quantity - will already be designated "1".
  • Fund - enter the appropriate fund number. The fund number should include the CP prefix and the fiscal year suffix, for example: CP-12-K51-2007. Any letters should be capitalized.
  • Location - enter the collection name using Aleph codes in all capital letters. Use STACK for stacks. Consult the full list of collection codes available in each library. **Please note that McKeldin reference stacks are RESTK.
  • Department - enter the library where the book belongs, using Aleph sublibrary codes in all capital letters. These include CPART, CPARC, CPCHM, CPENG, CPMCK, and CPPAL.
  • Internal Notes - use to send a note to Acquisitions or Cataloging, if needed. Use one of the following phrases:
    • question for reference
    • replacement copy
    • add a copy [for xx location]
    • hold and notify for [patron bar code number]
    • rush catalog
    • affix bookplate
    • this edition only
    • clothbound preferred
    • order UK edition
      • ***Please note that there is no need to indicate a rush order. One of the benefits of ordering online will be the speed with which orders will be processed both in-house and by Blackwell's. All online orders will, in a sense, be treated rush.
  • Notes to Blackwell - should be left blank.
  • Overlay number - should be left blank.

Step 5. Click on the Request! button.

Step 6. Acquisitions staff will search and review the Requests. Once their review is completed and the order is sent to Blackwell's, the Request Approved and Order icons will appear beneath the title with notations such as the following:


Order Date: 1 February 2006 Status: Open Code: NMRM Loc: STACK Dept: CPMCK Ordered: 1


Once the order is filled and the item is received, the Request Approved icon will disappear, the Order icon will remain, and the Status will change to "Invoiced".

To edit or delete a request

Click on the Request icon.
Make changes and click the Change button, or
Click the Delete button

Storing request form information

You can set your Preferences (for current session or permanently), or
Whatever information you last entered will be copied into the subsequent form.
Be sure to scroll through the entire request form and delete unwanted information that will have been carried over from a previous order.

Batch requests
  • Tag the titles you are interested in ordering.
  • At the top of the screen, click on Request all.
  • Be sure to change the radio button to "Only tagged titles on list".
  • Click on the Request! button
  • **All the items in the batch request will be on the same fund and for the same location**


Multiple Editions

Click the Editions link under the title. Place your order on the US, paperback edition if available. Since we are US edition and paperback preferred, if you want the UK or clothbound edition you must include a note to that effect (i.e. "clothbound preferred" or "UK edition").

Do not order online if:
  • The order is Rush.
    • When Acquisitions receives a rush order request, they do not order from BBS. Rush orders should continue to be sent to Acquisitions via an MRF on (pink) paper.
  • The title is Forthcoming.
  • The imprint is more than 2 years old. Submit orders for older titles by MRF.
  • No price information is listed. Submit orders for these publications by MRF.
