Remodeling? Renovating?
Here's what we need you to do...

All disruptions in depository operations should be reported to both GPO and to the library's regional library. The main thing to keep in mind is that the library undergoing renovation should continue to execute their fundamental responsibility to keep depository services fully available to the public. Please note that GPO will not cease shipments to your library during your renovation. When drafting your contingency plan, please take incoming depository shipment boxes into consideration.

These instructions were originally outlined in Administrative Notes, volume 18, number 8, dated 5/15/1997.

To clarify on what GPO would like to see in a contingency plan, we've come up with these points to include in any plan:
  • Name of your institution,
  • Expected beginning and ending dates of the closure,
  • Name of a contact person at your institution for depository questions,
  • A plan of how you will continue to check-in new materials,
  • The extent of the curtailment of service,
  • The alternative strategies to be employed to fulfill Government information requests, including where the next closest Federal Depository Library is located,
  • Specific techniques to be employed for notifying primary clienteles, other libraries (both depository and non-depository), and the public of the changes in service, including but not limited to:
    • a web page notice,
    • recording of a new telephone message,
    • the posting of signage in the library,
    • the changing an email response,
    • etc...
    • Basically, how will your patrons/clients know how to get help?
  • List how your renovation will impact ILL. Will you be able to send/receive/contribute to any ILL? Will your ILL status need to be temporarily changed?
  • Give a description of any backlog of work that you anticipate will accumulate throughout the renovation project, and include strategies for addressing the backlog upon completion of the project.

After the contingency plan is drafted, please submit copies of the plan to GPO and to your regional library!
