Ad Hoc Committee on Disaster Awareness and Preparedness

The Ad Hoc Committee on Disaster Awareness and Preparedness will study initiatives/programs at other regional and national archival organizations/institutions (including resources from the Heritage Emergency Taskforce) looking for gaps which MARAC could fill or opportunities for partnerships; prepare guidelines for a disaster response team including size, training and resource needs; create a plan for a disaster fund drive in consultation with the Development Committee; determine procedures/guidelines for awarding disaster funds; and recommend potential disaster awareness and preparedness activities.

MARAC Disaster Assistance Fund
Funding Guidelines

Who can apply?
Any institution with archival holdings or special collections in the MARAC region can apply. At least one staff person at the institution must be a MARAC member. Personal collections are not eligible for grants.

How much can an institution apply for?
Up to $ 2,000 per grant.

What types of responses are eligible for funding?
Grant monies may be used for the direct recovery of damaged or at-risk archival materials caused by a sudden, unexpected event involving fire, water, man-made, or natural phenomena where immediate response is necessary to prevent irretrievable loss. Eligible services may include freeze drying, storage, transportation of materials, and rental facilities. Eligible supplies may include acid-free boxes and folders, storage cartons, cleaning materials, plastic milk crates, and protective gear. Funds may also be used to defray costs (such as housing, meals, or transportation) for volunteers or other laborers who assist with the recovery.

Who determines funding?
MARAC Steering Committee

What are the institution's responsibilities?
Notify MARAC of intent to apply. Complete and submit the application. Report back to MARAC on how the money was spent.

What is the procedure?
If an institution has an event that causes damage to records/archival collections, it should notify MARAC's steering committee of its intent to file an application within 30 days of the event. All applications should be submitted to MARAC's Secretary and MARAC's Administrator who will forward applications to the Steering Committee listserv. The Steering Committee will meet via email to determine if MARAC should grant disaster recovery funds. The Steering Committee will make a decision in a timely manner (within two weeks) so that funds can be dispersed quickly. This decision will be ratified at the next Steering Committee meeting. If the Steering Committee agrees, then a check will be sent to the institution. The institution should submit a report detailing how the grant monies were spent.
