Grant Proposal FAQ

Q: How soon before a grant funding agency deadline should I send my proposal to the Grants Office?

A: Please DON'T wait until the last minute. Ideally, we would like to receive your proposal at least three weeks, two weeks at the latest, before the grant funding agency deadline. There are several levels of administrative review and approval that your proposal must pass through before it's ready to be mailed, and three weeks allows for any problems that may need to be resolved. The Grants Office is responsible for the following steps:

  • Initial review by Jane Williams, Director - Planning and Administrative Services, to ensure completeness, correct format, and appropriateness of proposal
  • The information in your proposal will be used to fill out the Office of Research Administration and Advancement (ORAA) Internal Routing Form for Proposals
  • Typically, the form and a copy of the proposal needs to be reviewed and approved by each principal investigator/project director, Department Chairperson/Director, and Interim Dean Desider Vikor
  • Once all approval signatures are obtained, the original routing form and three copies of the proposal are forwarded to ORAA for final review and approval
Upon final approval, ORAA generates a tracking number and sends a cover letter signed by the authorizing official back to the Grants Office. This letter will be included with the final packet of proposal copies forwarded to the funding agency. A copy of all approved proposals will be kept in the Grants Office.

Q: What is the new rate for calculating indirect costs?

A: Effective July 1, 2007, the new Facilities and Administration or F&A (formerly known as indirect cost) on-campus rate of 50% goes into effect.

Q: What is a Grant?

A: ORAA defines a grant to the University as a monetary award made on behalf of faculty to perform a specific project. The funding agency or sponsor, as ORAA refers to the funding agency, supports the project as outlined in the proposal. Grants have general characteristics:

  • Project usually has stated goals and objectives

  • Grant deliverables may include formal technical reports

  • Financial report is required
