Administrative FAQ's
GovMG staff has been working very hard to answer your questions about how GovMG functions. Please take a look at this information and send any further questions to govlib@umd.edu
CD-ROM's/Videos/Media Access
All GovMG Media is housed in locked cabinets in the 4th Floor Computer lab. The location of the CD-ROM cabinets in the computer lab is noted on the map of the lab right inside the door. The cabinets are clearly labeled; please note that there is one cabinet that has CD-ROM's with LC call numbers. A set of keys to the cabinets can be found in shelf list cabinet in the SIRS office. The keys and cabinets are color-coded.
Circulation/Special Loans
This chart specifies how government documents should be loaned to UM affiliates and to patrons not affiliated with UM.
The only items that McKeldin Info Desk staff should fill out special permission slips for are U.S. Government Information Media (CD-ROM's, videos) that have Su Doc call numbers. These materials may be loaned to UM affiliates following the McKeldin Reference Special Permission Policy Guidelines. As indicated, these materials should be loaned for 72 hours.
U.S. Government Information Media with LC call numbers (marked "For use at McKeldin Info Desk only") should not be loaned. They may only be used at a workstation behind the Info Desk. After use, please place these materials in the "pick-up" tray marked to Annie's attention.
Please note that GovMG staff may allow patrons not affiliated with UM to borrow materials using special loan slips that GovMG staff will keep on file. GovMG staff may put special loaned material in the pick-up tray for patrons. They will be instructed to return items to the Info Desk. Please place these materials in the "pick-up" tray marked to Annie's attention.
Class Reserves
The GovMG staff does not put materials on reserve for classes.

Computer
Besides the computers in the 4th floor Computer Lab, there will be a public workstation on the west side of the building. It will be open for the same use as public workstations on other floors but a sign will be posted indicating that staff have priority use of the computer. This will help ensure that staff helping users can quickly access a computer if the need arises.
Computer Lab (4th Floor )
Printable Instructions
The Computer Lab should be checked on Saturday and Sunday mornings. (GovMG staff will check the Lab Monday-Friday.) Staff should:
- Make sure the lights are on.
- Make sure all the computers are logged in. Usernames are: gdlib1 (WS 2301-2308), govgis1 (WS 1288-1289), and microfilm (WS 1080). These usernames are posted on all of the workstations. There are no passwords for any of the computers. Note: To log-in to the computer by the microfiche machine (WS 1080), turn on the microfiche reader, restart the computer, log-in, then turn the microfiche reader off. (These instructions are also located in the binder next to the machine.)
- Make sure the microfiche reader is off.
Any necessary troubleshooting or questions should be handled throughout the day by Info Desk Staff.
Computers in the Lab print to the black & white copier on the west side of the 4th floor but can also print to the 1st floor black and white or color copiers as they are in the same queue.
The Computer Lab Use Policy for the 4th floor lab is posted in the Lab. Items to note include that patrons using GIS have priority use of the GIS computers (this is also noted in a sign next to the GIS computers) and that patrons using GovMG CD-ROM's have priority use at the other computers in the Lab.

"Do Not Circulate" Stamp
Many of the documents in the GovMG collection are stamped "Do Not Circulate." This stamp may be ignored as long as the item is located in one of our circulating collections - SU Docs or Folio. The Catalog record will indicate the item's circulating status.
Finding Aids
All finding aids and FAQ's will be linked either from the guides page or from the SIRS page.

GPO Requests
Almost all questions from GPO come directly to the GovMG email account. Any questions received by phone may be directed to Annie Young (x5-9172).
Guidelines for answering government information questions
Info Desk staff are expected to go upstairs to answer directional government information or maps questions or to help a user get started with using print indexes or resources. If additional help is needed, the user should contact GovMG staff. As with other questions at the Info Desk, staff may spend as much time as they like helping a patron with a government information question, as long as there is no queuing.
Holds
Requests for holds, including requests from members of the public, should be handled the same way as other McKeldin materials. Any special requests should be referred to the GovMG staff (x5-9165).

Information on resources and topics
Some resources and topics will be discussed in training sessions to be held August-November. Other places to consult include research guides, the government information online pages, and the GovMG FAQ page that is under construction. If you have any specific questions, or would like in-depth training on any resource or topic, please contact Annie.
Locked Collection Access (Rare, Folio & LC Stacks in the Core)
Users can get access to the locked collections that are located in the GovMG office (called “the Core”) when GovMG staff are in the office or by appointment. The locked collections include the Catalog locations of Gov Info Folio, Oversize, Rare and LC Stacks.
If users ask for these materials at the Info Desk, Info Desk staff should first call the GovMG office (x5-9165), to see if staff are available to assist the user. If no one is in the office, Info Desk staff should give the user Annie’s business card and instruct them to contact her to make an appointment to access the materials.
When contacted in advance, GovMG staff can leave materials from the locked collections in the pick-up tray for patrons. The Catalog indicates that users should "Ask at desk" for these materials.
Locked Map Case Access
Currently, there are very few maps in the cases so this issue will be addressed at future time when the maps have come back from being preserved, been organized, etc.

Maps of the Collection
An annotated map (draft) of the 4th floor will be made and will be available online and as a handout on the 4th floor. You can view the draft at http://www.lib.umd.edu/GOV/locationmap.pdf.
There are also maps of the Computer Lab located inside each door, and a map of the map collection located on top of the map cases by the Government Information desk. This map is currently being revised and will be linked online when completed.
Microforms
Microfilm and microfiche are located in the GovMG Computer Lab. There is a user guide next to the microform scanner. Staff may also refer to the "UM Libraries Service and Support Model for Microform Scanners" draft of 5/13/08.
Passwords
Passwords for some databases, including STAT-USA are located in the gray flip book.
Phone Number
The GovMG telephone number is 301-405-9165. This number rings at all phones in the GovMG office.
Printers
Maintenance and issues with the printer/copier and copier (located on the west side of the building) should be handled as they are on the other floors. See Administrative Memo 3 draft.

Referrals
Referrals to GovMG librarians should be made as they are with other subject specialists. Business cards for the GovMG librarians have been placed with the others. All GIS questions should be referred to Kim Ricker or the GIS graduate assistant (301-405-9167 or gis@umd.edu).
Serials
GovMG serials circulate if they are in the SU Docs stacks. Serials in the Reference, Map, Atlas, or Rare locations do not circulate.
Signage for Getting Help
There will be signs posted in the Computer Lab - on both doors, next to the microfiche reader, on the CD-ROM cabinets, by the computers, by the phone - instructing anyone with questions to call the Info Desk.
There will be a sign on the GovMG desk instructing users to ask at the Info Desk for help or to take any books to check out to the Circulation desk.
Signs will also be posted by the printer and copiers and throughout the stacks to alert users where to go if they need help.
Additionally, a stacks phone will be installed on the 4th floor.
Web Page
The GovMG website is being revamped to remove mention of a physical service point and to reflect the department's name change. Effort will also be made to make it easier to find information and to include policy and other information needed to answer users' questions. This page is maintained by GovMG staff.
