SIRS (McKeldin Service Plus Research and Information Service) Committee Minutes for meeting of October 31, 2001 Present: Garber, Laguerre, Lindquist, Nail-Chewetalu, Norris-Gonzalez, Stanek, Todd, Winker, Yocco 1) Guest Mark Wilkerson. Mark Wilkerson visited SIRS to review the current status of the implementation schedule for the new payment card vending system. At present, implementation in McKeldin is scheduled for November 16. Scheduled installation and testing of wiring, equipment, and networking capability means the other libraries will convert to the new system in the following order: McKeldin, Art, Architecture, Chemistry, Hornbake, Engineering, and PAL. All of these facilities should be fully implemented by December 18. One of the things that is not known at this time is whether the Pay-for-Print system is technically capable of accepting BOTH the old and new payment card systems. If it turns out that the Pay for Print system is capable of accepting only one of the payment systems, then P4P will be implemented for all libraries at the end of the implementation schedule. We all need to be flexible and try to stay aware of developments as plans may change. Attached is an"Information for Customers" sheet that Mark distributed at SIRS. 2) Guest Sue Baughman. Sue and SIRS members discussed planned activities for the November TIP agenda item on "Guidelines for Best Practices for the McKeldin Information Desk." 3) Desk Service Guidelines. Cindy proposed that SIRS create formal desk service guidelines that are along the line of the "Meeting Guidelines" that the library has adopted. We do have "unwritten" guidelines/expectations like being on time for shifts, treating staff and patrons with courtesy and respect, behaving as if direct service to patrons was the primary activity at the desk. We discussed whether these expectations should be formalized as a companion to the "Guidelines for Best Practices for the McKeldin Information Desk." We agreed to think about this and discuss this at a future meeting. Determine how to manage the desk schedule during December 20-24, Christmas Week, and January until Spring Semester starts. 2) Debrief from the TIP meeting. 30 minutes. Think about the following questions: What went well during the TIP meeting? What did not goes as well as planned? What lessons did we learn? 3) Desk Service Guidelines. 30 minutes. Brainstorm what might be included in these guidelines. Outcome: Agree on who will draft the guidelines and bring them back to SIRS. Information for Customers * New vending system will start in McKeldin Library on November 16th * Installation of new equipment will start on November 12th * Wide stripe on UMCP ID's will be used in the new vending system * Libraries will be operating two card systems (old and new) until conversion is complete * All libraries are scheduled to convert to the new system by December 18th * Terrapin Express can be used in photocopiers, r/p's, and P4P in the new system * Photocopy Services office will transfer value from old cards to new cards *Office will retain old cards if value is transferred *Old cards should be displayed at Information Desk for new card; no retention necessary * Minimum of $2.00 and maximum $10.00 will be transferred by Photocopy Services office from old cards to new * Campus department card value will not be transferred * Old photocopy cards will be available in all libraries for customers who need them through the time of conversion * Cards can be purchased and money can only be added to five card dispensers in McKeldin Library (eventually 13 total throughout the libraries) * Cards can be purchased and value can be added to them at the Photocopy Services office * Initial cost of the card is $1.00; 1's, 5's, 10's and 20's can be added at dispensers; maximum amount each card can contain is $100.00 * There will be $.20 in initial value on cards purchased at card dispensers; no value on new cards that are given away * No copiers or reader/printers will accept money * One courtesy changer will be available in McKeldin Library; none in the branch libraries * Signs will be posted in libraries warning customers beforehand about conversion from old card system to new one * Order of networking: McKeldin, Art, Architecture, Chemistry, Hornbake, Engineering, PAL Things we don't know: * How Terrapin Express will be integrated into the libraries * Whether libraries will still add value to Terrapin Express accounts if Photocopy Services transfers card value * Can P4P operate in a two card system environment * When we can post messages on library web page
