SIRS Minutes December 10, 2003 10:30 a.m. – 12 Noon Present: Marian Burright, Otis Chadley (Minutes Taker), Bob Garber, Ross Laguerre, Ricardo Lopez, Alan Mattlage (Facilitator), Dan Newsome, Yahaira Norris-Gonzalez (Timekeeper), Beth Roberts, Debbie Stefany, Cindy Todd, Evelyn Yocco, Michael Zeliff Topic 1: Adjustments to the Agenda No changes were necessary. Topic 2: Round Robin Welcome Marian Burright to SIRS. Marian replaces Beth Roberts as the SIRS Representative for the Science Team. There are concerns about library security, as people (i.e. construction workers) enter and leave the back entrance of McKeldin Library. To determine appropriate procedures, Mike will discuss this issue with Mary Dalto. Debbie reported that during a recent SPAT meeting, it was announced that most construction work in McKeldin Library has been completed. Mike announced that evening patrons are increasingly seeking permission to take reference materials to McKeldin Library’s WAM Lab. Someone commented that the Welcome Desk staff had taken ID’s on such occasions. SIRS has not made a decision regarding this matter. Cindy discussed and distributed “Prevent Theft” tags that are now available for posting in various locations in McKeldin Library. Alan announced that the Arts & Humanities Team is seeking a home for ETIC CD products. All relevant parties will be consulted regarding this matter. Topic 3: Adaptive Technology Lab Update Dan Newsome of Adaptive Technology (AT) introduced his new assistant, Ricardo Lopez. SIRS Members introduced themselves to Ricardo. Adaptive Technology Staff are creating a Website of their services. Dan will post signage regarding library materials left in AT. He would like SIRS Desk people to collect such items. For temporary storage of library materials left behind, it was suggested that a book cart be placed in AT. Dan will replace current TTY service with a newer version. TTY assists patrons with hearing impairments. Patrons can leave messages on TTY. As part of AT services, it was suggested that Dan offer Digital Reference, such as “Chat with a librarian.” SIRS recommended that he contact the Digital Reference Committee, to learn more about the service. Topic 4: Printing In the Electronic Research Area, Using the PCs Behind the Information Desk, and Referrals SIRS continued its discussion of topics introduced in the previous meeting. SIRS Representatives from the Arts & Humanities Team, Science Team, and Social Sciences Team provided feedback from their team members. Alan reported that the Arts & Humanities Team is satisfied for the most part with current procedures relating to topic 4. The team felt that PCs located behind the SIRS Desk should be made more readily available to patrons. Also, it was recommended that the PC containing Word/Editing software be relocated from its present location in the Electronic Research Area. Longer Copy Shop hours were suggested. Bob informed SIRS that feedback by the Social Sciences Team regarding topic 4 is reflected in their minutes of December 3, 2003. Excerpts of the minutes pertaining to topic 4 were read to SIRS Members. Beth and Marian provided feedback from the Science Team regarding topic 4. It was reiterated that patrons use the PCs behind the SIRS Desk when working on a project with librarians. Free printing should be done on a case by case basis. The possibility that all Service Plus workers should be trained regarding referrals was mentioned. A couple of PCs should be made available to patrons for quick editing of Word documents. The PCs would be located in a visible area, excluding the area behind the SIRS Desk. The workstations should be self service with time limits. Service Plus workers will not be responsible for assisting patrons with the designated PCs. SIRS decided to identify problems that should be addressed. The concerns were not limited to printing, referrals, and access to PCs behind the SIRS Desk. Issues to be “tackled” are listed below. Items with an asterisk (*) are high priority concerns. · Student, staff, and librarian role at SIRS Desk* · Librarian, staff, and student relations at SIRS Desk* · Access to PCs behind SIRS Desk. · Free printing · Productivity software—What should we make available? · Color printing* · Copy Shop hours · Workstation placement for word processing · Expand staffing to other labor pools (i.e. CLIS Students) · Funding for expanded labor pool · Relation with WAM Lab and OIT, particularly regarding printing · Printing of WebCT documents · After hours guidelines [i.e. 9 p.m. – 11 p.m. hours at SIRS Desk] · Business cards · Training for WebCT etc. for all SIRS Desk workers · Other work at [SIRS] Desk · Telephone reference · What is our service philosophy?* When reflecting on our service philosophy, it was suggested that we: · Think about the division of roles (i.e. librarian role, staff role, and student role) · Read the Services Task Force Report Topic 5: McKeldin Library, Room 2109 Cindy reported that room 2109 has been open for public use during most of 2003 fall semester. Room 2109 is set-up to accommodate the overflow of PC users from the Electronic Research Area, located on the first floor. For hardware/software security reasons, room 2109 is staffed by a student assistant. Cindy reminded SIRS Desk workers to enforce the computer use policy, as found on the Service Plus Website under “procedures.” Topic 6: Other Announcements Cindy announced that effective January 2004, Lily Griner will replace Otis Chadley as SIRS Representative for the Social Science Team. Cindy thanked Otis for his two years of service on the SIRS Committee. SIRS will not meet on December 24, 2003. The next meeting is scheduled for January 14, 2004.
