SIRS Meeting Minutes 4-10-02 Present: O. Chadley, B. Garber, R. Laguerre, A. Mattlage, Y. Norris-Gonzalez, E. Roberts, C. Todd, S. Van Sant, M. Winker, E. Yocco, M. Zeliff, Topic 1: Agenda S. Van Sant requested that SIRS discuss updating the locations of resources listed on the Web page. C. Todd suggested that this be done in the summer concurrent with the normally scheduled revision. It was agreed. The agenda was approved. Topic 2: Comments on the P4P wording. O. Chadley led a brief discussion of the responses he collected regarding the proposed wording. Concern was raised regarding the privacy of patrons asked to type their names to identify the print job. It was decided that this was not a significant enough concern to merit altering the following wording, which was then adopted. First Prompt: "Please type in your name." Second Prompt: "Please type in a word or words to identify this print job." Topic 3: Special Check Out Procedures McKeldin Special Permission Loans procedures (from Circulation) was distributed. Topic 4: Construction Update C. Todd reported on the progress of the new Info Desk. The construction is going quickly and may be finished before the projected 4 weeks. SPIT and the PR Team are beginning to plan a celebration of the McKeldin renovation. this is tentatively planned for the beginning of the Fall Semester. A discussion ensued regarding the holding of periodicals at the Info Desk. Circ will not hold items which they do not circulate. It was agreed that items would be held at the Information Desk only in very rare instances, e.g., when patrons have been inconvenienced by poor service (a VERY rare occurence, indeed!) Items will be held for no more than 24 hours. C. Todd will explore the creation of forms to track held items. Topic 5: Summer Schedule The Team discussed staffing levels for the Summer. It was agreed that the staffing levels that were in effect for Summer last year will be used this year. A sign up sheet will be posted for weekends and commencement week. This will be done once the University's schedule is published. Round Robin: Y. Norris-Gonzalez asked a number of questions regarding the new print system. Terrapin Express accounts are created by the VTS machines. Faculty/Staff cards are not yet working. To get a "master" copying card, units will need to talk with Mark Wilkerson. Handicapped patrons are complaining about the location of the card readers for the photocopiers. These complaints should be passed on in writing to Mark Wilkerson, cc-ing C. Todd. C. Todd announced that a higher than usual personal theft rate is plaguing McKeldin. It was agreed that the text on Pay for Print system should warn patrons not to leave their valuables behind when picking up their print jobs and that jobs are held in the queue for two hours after the print job is sent. A discussion ensued about personal safety in McKeldin, particularly in women's restrooms. Some concern was expressed about deadbolts in the doors. Future Agenda: We will discuss special permission loans with the aim of rewriting our policies and procedures. We will also discuss procedures related to the new SIRS desk.
