SIRS Minutes May 8, 2002 Meeting Facilitator: Evelyn Yocco Note Taker: Otis Chadley Present: O. Chadley, B. Garber, A. Mattlage, Y. Norris-Gonzalez, E. Roberts, D. Stefany E. Yocco, M. Zeliff Topic 1: Pharos Print Prompts O. Chadley reported that a forthcoming software upgrade by ITD will reduce the two print prompts to a single screen. All previously proposed language will be maintained with one prompt. An example of the single prompt is found on PC #61, located in the Electronic Research area of McKeldin Library. ITD has advised SIRS to convey future computer matters, requests etc. to Chris Bunn. Chris will communicate our concerns to ITD. SIRS will suggest additional language be included in the upcoming Pharos print prompt. We propose: "Print job expires after two hours. Do not leave valuables unattended." Hopefully, this additional language will indicate to PC users that there's no rush to pick-up print jobs, and to take their personal items with them. A. Mattlage suggested that a message such as, "job sent" be displayed by Pharos, once the print job has been transmitted to the print station. O. Chadley will communicate SIRS computer suggestions to Chris Bunn. Topic 2: Location of Supplies at the Information Desk O. Chadley conveyed the concerns of Social Sciences Team members, regarding relocating supplies (hole puncher, scissors, etc.) to an alternative location. The concern is, during very busy times, the Information Desk will become congested and noisy. SIRS agreed with this assessment. C. Todd will delay action on this matter a few weeks, until we can adequately assess the traffic flow near the new Information Desk. Topic 3: Location of Library Guides M. Winker was unavailable to discuss this matter. Therefore, SIRS decided to delay making any decisions on the topic, and simply made suggestions. A. Mattlage proposed we put library guides in the racks near the Information Desk, such as in the rack facing the desk. Topic 4: Phone Numbers at New Information Desk C. Todd is opposed to taping phone numbers on nearby pillars, in the Information Desk area. Keeping the area tidy is important. A list of relevant phone numbers are now posted in clear plastic holders, on the Information Desk. Topic 5: Special Permission Slips This topic will be discussed at a later date. Topic 6: Upcoming Desk Shifts for Librarians After a brief discussion by B. Garber and A. Mattlage, SIRS group agreed that "on-call" will mean you are available to work at any time during the course of a shift. "Back-up" will imply that you check to assure desk coverage is present. There will be librarians on-call during the week of finals, and back-up scheduling will be in effect during the week of Memorial Day. Scheduling for July 5th was tabled, until the next SIRS meeting. Topic 7: Lost and Found D. Stefany will pursue this issue at the next SAG meeting. Stay tuned. Future Agenda Items: 1. Guidelines for public use of PCs and software (i.e. PowerPoint etc.), behind the Information Desk 2. Relocation of supplies (i.e. scissors, hole puncher etc.) 3. Usefulness of small desk behind Information Desk 4. Location for Instruction Schedule Board 5. Special Permission Slips 6. Location of Library User Guides
