SIRS Meeting September 11, 2002 Present: C. Todd; D. Stefany (facilitator); B. Roberts; R.Laguerre; M. Zeliff (note-taker); A. Mattlage; Y. Norris-Gonzalez; R. Garber 1. Mark Wilkerson reported that a copy shop will open in the Photocopy Center within ten days. It will be located in the front of the Center and be available to both library staff and the public. Open during Photocopy Center hours, 9am to 5pm Monday through Friday, the copy center will be self-service and offer color copies, a document feeder, among other options. Staff members can enter codes to print from their respective divisions, or patrons can use copy cards. Mark will post prices and services before the shop opens. Mark also explained that if students or faculty/staff are having problems opening a terrapin express account, they can stop by the Photocopy Center and fill out a form that includes credit card information that will be faxed to South Dining Hall, where it will be entered within minutes. The minumum amount for opening an account this way is $20. Mark noted that the library has purchased new servers for each building that should cause less problems than the servers we formerly used at South Dining did. If pay-for-print goes off-line, staff should first call another campus library to see if it is having the same problem. If not, then the problem will be here, at McKeldin, and we should leave a message for Mark at the Photocopy Center. If true of more than one library, then the problem is with the main server, and South Dining should be notified. Finally, Mark said that the change machine will be back next week. 2. Round Robin Beth asked when no one is at the Welcome Desk and the alarm goes off and the patron does not stop, what is the staff at the Information Desk to do? Anyone at the desk who notices this happening should call out to the patron and ask him/her to stop and then call campus police if he/she doesn't. Deb reported that SIRS will write a Lost/Found policy, which will be discussed at the next meeting. 3. Special Permission Loans The new procedure has not yet started but will as soon as it is cleared with Circulation. SIRS also discussed the policy for Special Permission Loans for non-circulating materials in McKeldin stacks. It will invite Terry Sayler and Jesse Hinkle to a future meeting to discuss this issue. 4. Printing from the Desk From computers on the desk we now have the option of choosing to send print jobs to the color printer, the P4P printer, and the existing (free) printers. SIRS agrees that we will minimize the amount of "free printing" for patrons. We agree that in the interest of service it is occasionally desirable to "free print" such things as online Catalog records, World Cat records, and subject guides. Limitations of our desk printer and the complexities of the printing set-up mean that we should avoid printing long documents and pdf files at the Desk as they can take a very long time to process and may delay colleagues who are trying to print. Agenda for next SIRS meeting on Sept. 25: --discuss Lost/Found policy --discuss special borrowing --discuss proposal for desk schedules Michael G.
