Section IV
Exceptions & special situations.
See the Appendix for a sample “series-like phrase” and “supplement” decision filed in the
Master File.
- Series-like phrase - Some publications have a series-like phrase. These are statements
that seem like series statements, but are not actually true series. Series-like phrases are
either recorded in a 500 note, or completely ignored; See EXAMPLE. Search the phrase as you would any other
series. Section III and follow the decision found in either the National Authority File
(NAF) or the Master File. If you can not find an authority record in either place, follow the
same instructions given in Section III, at end of Step 4.
- Supplements to serial titles that are not series. This is the type of supplement
encountered most often and the one most misunderstood. These supplements are unnumbered; or,
they are supplements that have a number that is connected to a specific volume of the serial
title to which it is related. The supplements have distinctive titles and are cataloged
separately with individual call numbers. Their bibliographic records have a 500 note about
the supplement, e.g., "EJCN, European Journal of Clinical Nutrition, volume 56, Supplement 1,
March 2002" and a 7XX added entry for the serial title containing information about the
supplement, e.g., (European journal of clinical nutrition. Vol. 56 (Supplement 2); See EXAMPLE.
- Supplements to serial titles that are true series. These are supplements that have a
continuous numbering system of their very own, e.g., Supplement to optical information systems ; 3.
- Search for a bibliographic record with the distinctive title of the supplement-in-hand.
- Search for a serial record that covers all supplements to the serial title.
- If the supplement has its own independent number, it is a series so follow the same
procedures in Section III.
- If the supplement has a number dependent upon a particular volume number of a serial title
(e.g., Classical and quantum gravity, vol. 10, Supplement I) search the Master File and follow
the decision and instructions given. If no decision is found in Master File, refer the piece to the NACO Liaison.
- Most unnumbered supplements are not true series. Search the Master File and follow the
decision and instructions given. If no decision is found in Master File, refer the piece to the NACO liaison.
- Special Issues and Special numbers of serial titles
- Decisions on how to handle special issues and special numbers of a specific journal title
are also placed in the Master File (e.g., Operating systems review. Special issue). Search the
Master File and follow the decision and instructions given. If no decision is found in Master File, refer the piece to
the NACO liaison.
- Special situations, aberrations, inconsistencies etc.
- A change in title proper of a series. A major change in the title proper of a series will be treated as a new/different series and will require a separate authority record. A minor change in title proper of a series will be treated as a series title variation and will be accounted for in reference structure on the same authority record. For definitions of "major changes" and "minor changes" see Anglo-American Cataloging Rules 21.2 "Changes in Titles Proper."
- A numbered series appears without a number.
- An unnumbered series appears with a number.
- The series numbering changes form (e.g., piece has “vol.” And series authority record
and/or bibliographic record has “v”).
Refer any situations like these, or other confusing and troublesome series issues to the NACO liaison.
