Cataloging Procedure for Serial Remote Resources {DRAFT}

Horizontal Rule

  1. Search OCLC for matching copy, keeping in mind whether a single-record approach or multiple record approach is needed.

  2. Verify all URLs found on the appropriate record. Please check that each URL on the bibliographic record allows access to the text of the title. If a URL does not let you into the text, then either the URL is no longer valid, the publisher/vendor is not recognizing the campus IP address, or possibly a userid and password may be needed. One may have to consult with the Serials Acquisitions Unit staff to verify that UM has paid for access. Please ask about URLs which appear on the bibliographic record and which do not appear on the Electronic Materials Request Form since the remote title may be available from more than one source. Delete unneeded URLs from the record before updating it for Victor.

    Note: for the indicators in the 856, use "41" if the URL is added to the print record; use "40" in the 856 if its URL is for remote resource described in the remote cataloging record.

    A note describing the specific method of access for each URL must be added to its 856 using the subfield z. There are several methods of access. The most desirable is access controlled by the campus IP addresses.

    Example:

    Another method of access requires userid and password. These will be recorded on the UM Libraries' home page only. The URL for the title on the UM Libraries' home page is recorded in the bibliographic record.

    Separate records for remote serials should always show any restrictions to access to the remote file. The 506 field shows restrictions to access recorded in general terms.

    Some examples for use restrictions notes (506 field) are:

    506      Requires subscription to print and a site license.
    506      Restricted to institutions with a site license to the JSTOR collection.
    

  3. Item record: An item record with a dummy bar code will be added to the cataloging record for the individual remote titles. An item record is not needed for a collection record unless its individual titles are not receiving separate records. The item record can easily be created by adding a 949:

    The Branch and Location codes for remote resources is NETWRK WWW, unless the item is a U.S. government document whose Branch and Location codes are GOVDOC WWW. The media code for electronic serials is SER when used in conjunction with the item status note. In order to have "Available online" appear as a status note and not as a call number note displaying below the call number, CARL code requires that the media code must be a circulating code. Prior to June 2000, "Available online" was generated using a 949 with

    "... ‡m SER* ‡n 999.Available online"

    Note: when adding an item record for NETWRK WWW or GOVDOC WWW to a print record, an item record (dummy bar code) may need to be added for a CURPER location so that the screen of seven will read "See full record."

  4. Summaries: The TCR for the remote title must be linked to the bibliographic record. If the TCR is for the collection, then the individual titles in the collection will be treated as "children" of the set. If TCRs are not available for each of the remote titles in a collection (which sometimes happen with large collections of remote resources), inform Serials Acquisition Unit staff to code the Management Screen for the "child." Use "zz" for the form code on the Management Screen. There are new NISO codes for specific types of electronic resources, but Victor currently does not allow their use.

    The serial summary and item record for the remote resource will use NETWRK WWW for branch and location, except for government documents which use GOVDOC WWW. The call number will be the same as the printed version if UM owns both printed and remote. Add "COMPUTER FILE" to the call number in the summary; it is not added to the item record.

    UM will not use enumeration and chronology in the summary unless the title's holdings are available from the beginning or the title has ceased publication and the holdings are complete. The following note will be used either alone or in addition to enumeration and chronology: For mode of access see full record; access to holdings also available via the University of Maryland Libraries' home page.

  5. Statistics: record a title count and an item count for each remote resource. For a collection level record, only the title is counted since the item count will be recorded from the separate records for each title in the remote collection.
