PRESERVATION COMMITTEE MEETING MINUTES
January 14, 1997
Present: Yvonne Carignan, Courtney Shaw, Linda Sarigol, Doug McElrath, Dianne Harvey, Kit
Miller, Priscilla Anderson, Rebecca Nwude, Evelyn Frangakis.
Evelyn announced her departure for a new job at NAL, but assured the committee that it had the
full support of the Dean and of Marietta Plank.
We discussed possible ways that the committee may function:
- Preview media related to preservation education and handling of library materials.
- Act as voices for preservation in your departments or divisions.
- Bring preservation problems to the attention of the committee.
- Review building and environmental issues and recommend improvements.
- Build a systematic approach to preservation in The Libraries.
- Set priorities for funding allocation for preservation throughout the different libraries and
departments.
- Survey collections.
- Work on cross-divisional issues such as:
- Replacing copiers with "edge copiers."
- Installing electronic environmental monitoring devices throughout The Libraries and
continuing to collect data to support preservation actions.
- Researching and implementing proper cleaning practices of stacks and library
collections.
- Establishing a restricted area to protect fragile, expensive items that do not belong in
Rare Books Department.
The Committee would like to balance short term, "doable" projects with long-term projects such
as conquering building problems.
Evelyn noted that preservation committees can be either advisory or planning committees.

- Association of Research Libraries' Preservation Planning Program manuals as models
for preservation planning committees. These manuals are available in the Preservation
Department.
- Mary Lynn Ritzenthaler's Preserving Archives and Manuscripts.
- William Lull's Conservation Environment Guidelines for Libraries and Archives.
- Packets of Northeast Document Conservation Center technical leaflets dealing with
preservation planning. (Enclosed.)
- Priscilla Anderson's Art Library Survey Report.
- Highlights from Paul Koda's 1989 preservation survey.
Dianne Harvey volunteered to order extra copies of preservation literature and to distribute
handouts to make the information more accessible for committee members.
Rebecca Nwude pointed out the importance of all of us reviewing the literature, etc., to attain a
common level of education before we proceed further as a committee. Therefore we decided on
the following activities:
- On January 28, at 2 p.m. we will tour the Preservation Department, and then view
and discuss the video of Slow Fires.
- We plan to tour the Archives II Conservation Labs as our second activity.
- Future educational activities for the Preservation Committee may include getting experts in
to speak to us. John Dean and Karen Garlick were mentioned as possibilities.
