Preservation Committee Meeting Minutes

Horizontal Rule

May 17, 2001

2:30-3:30 p.m.
TSD Council Room

Present: Y. Carignan, S. Koutsky, M. Scott, K. Hahn, B. Alvarez, P. Hayes (Time Keeper), G. Chawla (Facilitator), C. McCarthy, A. Mattlage (Recorder)

  1. The agenda was approved.
  2. Topic: Announcements/Updates
    • LEC approved the inclusion of Patti Longenbach as the representative from Government Documents to the Preservation Committee.
    • The Blue Ribbon Committee is considering processes in Preservation. Reports will be forthcoming.
    • The Salvage Squad Charge has been written, including job descriptions. A call for new members will be sent out.

  3. Topic: Rankings on FY20001/Fy2002 priority list
  4. The committee discussed question related to how and when projects will be added to the Preservation priorities list. A general call will be sent out, including the list of the Committee's representatives and the URL to the existing project list. As part of the process of writing a Preservation Plan, Yvonne is also reviewing projects with the individuals associated with the projects. The committee discussed the question of how to deal with old, but perennially low priority list items. A systematic, periodic review will be conducted to ensure that the values of the elements in the ranking formula have not changed.

  5. Topic: Hornbake portraits
  6. The committee discussed the advisability of restoring two portraits of R. Lee Hornbake and possibilities for the funding of this project. An assessment of the cost of restoration will need to be done. This assessment will require expertise external to the library. Outside funding will be pursued.

  7. Maryland Day report
  8. By all reports, the Preservation Department's participation in Maryland Day was a smashing success. 175-200 books were produced. The visibility of this activity will likely be enhanced next year.

  9. Topic: Adding preservation responsibilities to job descriptions
  10. Yvonne presented language to be included in job descriptions in order that preservation concerns can be include in PRDs. This was favorably received with the understanding that Preservation will need to establish ways for the staff to receive training. It was suggested that a "train the trainer" workshop could be established to disseminate the necessary knowledge of preservation practices.

  11. Topic: Allocations for incoming damaged materials
  12. Christine McCarthy reported on the factors involved in setting proper allocations for receiving damaged materials. The elimination of the free-fly additions to paperbacks will free up some time to do other work. Allocations for sending damaged items is in place and being reviewed and monitored. Staffing issues are being worked out, potentially much improved with the pending addition of an LTII. Student turnover has created expected but inevitable workflow difficulties. Spiral bound scores are being processed. Salvage items from the Great Hornbake Flood (and other water problems) are also being processed.

  13. Topic: Next meeting
  14. The next meeting will be July 12, 1:30-3:00, in the TSD Conference Room.
