Preservation Committee Minutes

Horizontal Rule

September 9, 1999

Time of meeting: 2:30-4:00
Facilitator: Anita Carrico
Timekeeper: Gloria Chawla
Recorder: Yvonne Carignan

Present: Beth Alvarez, Mary Scott, Karla Hahn, Yvonne Carignan, Anita Carrico, Gloria Chawla

The FY2000 preservation priorities were reviewed. We found that we need more information about the microfilming projects in order to determine their feasibility. In particular, we need an estimate of the number of frames for each project. Beth will find out the frames for the Archives & Manuscripts projects, Mary for the PAL projects, and Anita for the LAB project. Gloria will investigate the Chemistry periodical priorities, the ESPL plant patents as well as contacting Marianne Ryan regarding possible microfilming of the US Congressional Registers.

We reviewed the FY98 report of the Preservation Committee to LEC with a view to planning for an upcoming report. The Committee supported bringing the following issues before LEC this year:

  • Acknowledgment of cleaning and housekeeping as important to the longevity of collections and the great need to improve cleaning and staffing for cleaning at UM Libraries.
  • The need for drop-edge copiers in public areas and especially for use with special collections as Hornbake is equipped.
  • The importance of going out to bid for an experienced library moving company to move special collections.
  • Review of mass deacidification initiative for FY99 and assertion that the Preservation Committee supports UM Libraries mission to deacidify general collections.
  • Support of purchase of oversize shelving to properly house oversize collections in McKeldin and in other branches where possible.

Yvonne's to-do list:

  • Give Anita specs for oversize shelving.
  • Talk to procurement officer about procedure for moving forward on bid for library movers.
  • Ask Mark Wilkerson about any extra costs and track record for drop edge copiers.
Post script:
In order to come up with a methodology for prioritizing target collections for deacidification, and to bring the teams into this process, Karla Hahn has asked me to join the CMRAC meeting on 9/23/99.
