Report to LEC Preservation Committee FY99
Yvonne shared 2 handouts that she will present to LEC:
"Preservation Projects by Budget FY99" and "University
of Maryland Libraries Preservation Committee Preservation
Priorities." TSD Council helped her revise and refine the
handouts. Re "Projects" it was noted that the # of volumes
for deacidification is closer to 8,000 than 3,500, and that
the +$60,000 donation for that project does not have to
be spent in 1 year. Yvonne will present Preservation
Committee accomplishments to LEC and will report on other
committee activities, including but not limited to these
handouts: the question list and criteria that were used for
priority setting; recommendation letters written;
and efforts at educating ourselves and other library staff
on preservation. In addition, she will point out that lack
of staff could create a problem with current funding
levels.
Action: Please give any further comments, suggestions or
changes to Yvonne before the meeting with LEC, which will
take place in a couple of weeks.
Report on move of end processing and reorganization of the department
The physical layout of the preservation
department is being reorganized because of the great need
for space. The movement of the end processing activities
has freed some space for the deacidification project.
There are other moves in progress, including the relocation
of key office areas for security reasons. Yvonne shared
Elise's floor plan. There will also be staffing changes:
conservation is adding 1 staff member, bindery is adding 1
staff member and Elise's vacancy will need to be filled.
(Elise's could take at least 6 months to fill.) It was
suggested that in long range needs planning that perhaps
the idea of an auxiliary conservation unit in the "new"
Hornbake be considered since there is really no current or
foreseen room for expansion in McKeldin. Re move of end
processing, Preservation intends to work closely with
Catalog Management as they take over those duties from
Preservation.
Update on mass deacidification project
Yvonne pointed out that the $60,000 donation from Friends
of the Libraries toward that effort shows the strong
support of the Dean and FoL. The Spring initiative for
deacidification of journalism and broadcasting books is
already finished. English & foreign language literature
books will be done next.
Action: Selection team members (Y.Luckert, H.Pedersoli,
P.Herron) will meet with Preservation staff to give
suggestions on which particular areas to focus on.
The deacidification project seems to be moving quickly and
additional areas may soon need to be considered for the
process.
Action: Ethel will send a message to Committee members re
the deacidification priorities and criteria info that they
can share with their constituents to get their input on
which areas might be targeted next.
Discuss roles of committee in preservation long range
planning
Yvonne is researching several sources for the best way to
prepare a long range plan for The Libraries. So far the
best source appears to be "Preservation Planning:
Guidelines for Writing a Long-Range Plan" from the American
Association of Museums. She is searching for ways to pull
the Preservation Committee into this planning effort.
There was discussion on how this differs, or doesn't, from
what we're already doing.
Action: Yvonne will continue researching with a target start date of January 1999 for pulling in the Preservation Committee.

P.S.--Ethel Hellman shared with the group her trip to
American Graphic Arts in New Jersey in search of new
bindery equipment.
