Preservation Committee Meeting Minutes
February 7, 2002

Present: Alvarez, Carignan, Chawla, Díaz (Recorder), Hahn, Koutsky (Time keeper), Longenbach, Luckert, McCarthy, Scott (Facilitator)
- Announcements (Alvarez & Koutsky):
Both visited and toured the microfilming operations and facilities at Preservation Resources, Inc. (part of OCLC) in Bethlehem, PA.
- Gifts procedures and TSD gifts meeting report (Koutsky & McCarthy)
- Sue and Christine distributed a copy of definitions of the categories used to indicate the results of the preservation review of gift books. This is part of the on-going pilot project for gifts selection, which includes a condition assessment or preservation review. The definitions should provide some additional insight to selectors as to what each of the categories means and the types of conditions that warrant the selection of one category over another.
- They also reported that they are recording their assessment decisions to gather some sense of the percentages of gifts books that fall into each category and the total percentages of gifts that will require some level of preservation investment to be added to the collection. They also provided some basic information taken about the cost of book treatments often needed to get a gift book to the shelf after cataloging: Basic re-binding w/ minimal pre-repair - $9.06-$10.95. In-house treatment including rebinding - $15-$40.
- They continue to try to explore ways of the providing preservation training to selector by attempting to schedule sessions for the subject teams as part of one of their weekly meetings. So far only the Science team has taken advantage of this training session. Preservation sees this as an important means of highlighting the relationship between collection management/development and preservation. Luckert suggested another venue for training might be through the successful Peer Training Collective. Díaz supported the idea of conducting the training sessions during one of the subject teams' weekly meeting times to ensure that all members were present at once. Karla H. suggested that the data collected as part of the gifts review pilot project be shared with CMT at an upcoming meeting.
- Preservation Plan (Carignan):
She shared some general ideas about the focus and components (i.e. mission, visions, core preservation activities, etc.) of the new preservation plan. The preservation plan will be tied to the TSD work plan which is now under development. Once the Preservation Production Group drafts the preservation plan, it will be vetted with the Preservation Committee.
- Transition team update (Koutsky):
Sue reported on activities and progress of the team which is now working on its last task, to produce a final report.
- Book Symposium update (Carignan & Koutsky):
So far 95 people have signed up and space is nearly filled. It will be held in McKeldin Special Events Room, and Koutsky will be the MC. There is an excellent set of speakers and panelists, and planners have reserved part of the time for discussion among panelists and the audience.
- Agenda topics for next meeting:
- Digital project priorities and possible role for Preservation

Outcome: Understand digital project priorities and how those might fit into the UM Libraries preservation agenda in general.
- Maryland Day Update (McCarthy)
- Review list of proposed preservation related fund raising priorities generated by the UM Libraries Development office (Carignan and Alvarez?)
Outcome: Observe variations between the Preservation Committee's priority list and the Development Office's list. Decide what, if any, feedback we should give the Development Office
