EPU does not pull out paperwork from new books, can or should EPU do this?
Paperwork in special handling items is needed.

Searching scores and librettos - sometimes get the wrong item. Is this primarily a PA problem?

Height and width of folios - Carlen will find out if there is a policy, and if not will come back to CCC.

Preservation, end processing
which unit does what, how long it takes, who does what
we don't know who does what and this information would be helpful
example: A decision needed to be made about exchanging something in STOR or on shelf and getting rid of copies in Brittle. No feedback was received so items in storage were withdrawn even though it was probably in better condition than the items in Brittle Unit.

don't always get timely feedback - could have been because of vacancies

Pamphlet Bindings
almost all PA stuff is bound
scores are bound, some paperbacks are too heavy for pamphlet bindings, not sure why they are bound
Preservation should think about how heavy something is
go to more commercial binding for heavier things
repairs checked out on bindery card; Preservation then checks out on their own card (gives information on where something is), this does not always happen (happened within the last couple months)
staff are helpful
a turn around time would be helpful

Backlog
some things have been renewed 10 times, but not as much of backlog as before
bindery loan time - 8 weeks, should be sufficient
if expert looks at everything could extend time
can procedures define what activity should take place?

Who makes decisions about how brittle books are reformatted? Sue K
policies need to be shared

Help Desk
don't get rid of it, it exists, staff respond, they take care of things
keep as permanent position
one central place to go
would be good to see statistics/reports - what is the volume?
could/should Preservation have a "Help Desk" setup or take advantage of current system of Help Desk
statistics - volume of things going back to Preservation?

Checking in new books at branches
catch a few mistakes, catch holds, special holding, rush items
materials are put in wrong box, delivery can drop off at wrong place

Music backlog
how are backlogs going to be handled?
TSD is looking at this issue - do we have enough staff and the right procedures to do this? This is a key element.

Catalogers on site
keep up with backlog in NPMS, very positive
new support to have catalogers go to sites
Public Services and Technical Services have improved cooperation and collaboration
work not being done in a vacuum
Technical Services has agreed to allow Art and EPSL to do some technical services processes on site, cut out middle man process, replace lost labels, can transfer some items
fabulous at Art - more convenient
Alice is fabulous

Are there simple preservation processes that we can do? Preservation has done some training.

MCK has bar code machine - can and do replace new codes.
It helps that Preservation can add replacement bar codes.

"In" Processing
how does this or will this be impacted by LIMS 3?
the time allotted to this process is not long enough (now 10 days, this was reduced a few years ago)
suggested time - need more data, when does clock start?
may depend on how a location checks in new books
when does a record show up in VICTOR and where is book in T.S.? (in cataloging)
can clocks be set depending on activity or by branches? (new system?)
typically in processing expires before we get the materials

Not Converted - item is in VICTOR - no call # and can't find it (patron finds item in catalog)
mix of old (some from GEAC) and new (problems with loader)
record in PAC but we don't own item
who to go to figure out where this is
should there be a report to list these items?
is this a PROMPT CAT gap? records may not have been linked
TCR list - items are being converted promptly

Call #'s
will find books or journals with same call #
how many?
does a time period effect this?
items need to go to Help Desk
is it campus specific?
big research libraries are generally not deduping
policy/procedure - do we accept duplication or do we change technical services procedures?

Acquisitions
open up acquisitions module - want to have access from any where, on any terminal
now only certain people have access, passworded, only on specific terminals

Difficult to find information on periodicals - back issue orders

How long do you hold volume waiting for missing issue? What is the drop dead date? Periodicals, selectors need to talk about this. Back issues folks should be included.
