Appendix 1. -- Summary of "Parking Lot Ideas:"

  1. More title searching in Victor is needed from ordering to cataloging of title. More training on title searching is needed.
  2. Materials need to be screened better for preservation treatment BEFORE the titles are cataloged. A mechanism needs to be developed so that the preservation treatment decision is recorded, especially if the material is to be cataloged before it can receive treatment.
  3. Better instructions/policies are needed for the proper addition of duplicate copies. Duplicates are often found but are not questioned.
  4. There needs to be a better consciousness of matching the order form to the book and to the cataloging copy. Sometimes this is the only way to find that an order is incomplete.


Appendix 2 -- Glossary of Cataloging Terms:

BIBCO: the national cataloging group for the cataloging of monograph records.

CONSER: the national cataloging group for the cataloging of serial records.

Contribute: make permanent changes to an OCLC record, cataloging it according to national cataloging standards for the Program for Cooperative Cataloging; add 042 field with "pcc" in it to indicate the record is "contributed" to the Program for Cooperative Cataloging, specifically, to BIBCO, as opposed to "authenticate" which is used to mean a contribution of a serial record to CONSER.

Edit: make changes to the OCLC record which are not permanent changes to the master record. Corrections to the OCLC record will appear in UM's online catalog after updating the record.

Encoding level: a code which indicates the degree of cataloging fullness in the bibliographic detail. Most records cataloged at UM,CP are full level or core level.

Enhance: Add/change/delete information on a full encoding level OCLC master bibliographic record; the changes are permanent. Special enhance status or BIBCO membership is required.

Lock and replace: the lock command is used to "freeze" an OCLC master record so that corrections can be made to it. When the record is locked no other institution may also lock the record. When the corrections are finished, the locking institution uses the replace command to enter the changes permanently into the OCLC master record and then unlocks the record so that others will have access to it.

NACO:the national cataloging group for the contribution of name and series authority records.

OCLC Master Record: the record as found on OCLC bibliographic database; some permanent changes to the record cannot be made without proper authorization, others may be made by any OCLC member under certain conditions.

Program for Cooperative Cataloging (PCC): the umbrella organization under which BIBCO, CONSER, NACO, and SACO operate.

Queue: material s of a certain type waiting to be processed. Some queues are on shelves, others are on book trucks, others are paperwork in a pile, or in a locked cabinet.

SACO: the national cataloging group for the contribution of subject authority records.

Series vs. Serial: Individual works may be issued in a series. The series may be numbered or unnumbered. The works in a series may have individual titles for which access is also desired. Titles in unnumbered series are classed separately, that is, each individual title receives a call number appropriate to its title and not the title of the series. Titles in numbered series may be classed separately or classed together. The choice of call number treatment depends on whether individual titles in a series would all class in or about the same call number. If they do, then one call number is assigned to all titles in the series with the number of the series added to it to distinguish each individual title. If individual titles in a numbered series would have call numbers which are very differenct from one another, then the series is classed separately. All numbered series, whether they are classed together or classed separately, are serials by AACR2 definition.

Update: term for the command given to an OCLC record which will cause the record (with or without changes) to be loaded the next day into Victor.

Upgrade: Change the encoding level of an OCLC record from a lower level to a higher level with the addition of new data to the cataloging record; the changes to the OCLC record are permanent. Any OCLC member may upgrade without special authorization.
