Cataloging First Time In - Part 1

1.Group membership, definition and scope of work, and type of materials studied.

A. Group Members Studying the Processes of Monographs Cataloged for UM,CP Libraries for the First Time: Jeanne Baker (Chair), Robert Bratton, Antonina Contreras, Karla Hahn, Delores Huff, George Ramsey, Gordana Ruth, and Julia Wisniewski. B. Definition of "First Time" Cataloging: "Cataloging for the first time" includes any TITLE which is new to the University of Maryland, College Park (UM,CP) Libraries. A title search in UM,CP's file in Victor alone is not enough to identify a title as being new to the College Park collection. A title is new to UM,CP if there is no record in the College Park file in Victor, a collection count has never been taken on this material, and it has no identifying marks as to being property of UM,CP, such as no call number with UM,CP branch and location codes and no UM,CP property stamp. Hence, "cataloging for the first time" does not include any title which requires retrospective conversion since this material already has a UM,CP call number assigned and has had an official collection count taken. It also does not include new material being added to a title after the first volume(s) have been cataloged, although such material often goes through the new title cataloging processes if it has an individual title which would be recorded in a contents note.

C. Scope Of Work: The Group studied the cataloging processes concerning the first time cataloging of MONOGRAPH titles new to the University of Maryland, College Park Libraries. The study covers monograph cataloging performed by four of five units of the Cataloging Dept., namely, the Rapid Cataloging Unit (professional and paraprofessional staff), the Monographs Unit (professional catalogers and graduate assistants, and the Music/Audiovisual Unit and the Authorities Unit (the latter two units have professional and paraprofessional staff and graduate assistants).

The study does not include the cataloging of government documents, gifts, or serials since there are program review groups studying these. However, a substantial number of gift titles appear in Cataloging Dept. queues on a regular basis. Serials and government documents may appear in Cataloging Dept. Queues for one reason or another, such as a serial title ordered via book funds or a government document ordered for a non-GOVDOC location. The study does include individual titles issued in unnumbered or numbered series not classed together, but not serial records created for the latter. The study includes all processes which need to be performed in order to bring a record for a new monograph title into Victor and its completion after the record is loaded.
