Parking Lot of Questions and Ideas
Note: This page contains mainly the notes from the Program Review Participants Meeting held on June 30, 2000, 9:00-12:00 noon, in Mckeldin 4137. "Parking lot" ideas identified by the various program review working groups are also being added.
ARL consultants Maureen Sullivan and Shelley Phipps were the facilitators during the June 30th meeting.
Our Concerns:
- Really phase I? It was agreed that these belong to
phase2:
- Solicit ideas for improvement
- Define
resources
- Process we don't do.
- Setting up group reflectors
- Define out terms, especially processes
- Absences this summer
- How often will we meet?
We need to know:
Revisits:
- What is the difference between a process map and workflow chart?
- Not GovDocs and Serials -- clarify this
- Revisits matters that relate to global editorial responsibility (relating to VICTOR work to support USM and whether we shouldn't be considering it as a category of "revisits")
- Next day revision-- is this First time in or Revisits?
- What is retro/recon? Revisit or First time in?
- Loader specs-- where do these revisions fit?
- Authority Control: Request authority service from OCLC for record change and record merge notification.
- Help Desk: Advertising Help Desk more since some Information Desk staff still aren’t aware of it.
- Transfer/Withdraws: Who handles pieces without bib. records? Right now they collect at Wilma’s desk.

- What is meant by indirect adds?
Receiving:
- How to deal with overlap? Serials/Gifts/GovDocs?
- Joint meeting?
Gifts:
- Complexity before work comes in TSD
- Priority of gifts? What is it?

Benchmarking:
- Who are our peers? Criteria to define them?
- How to identify partners who have similar but not same
organizations
Government documents:
- Issues -- There were a couple of false
starts at accomplishing the corrections in ANTS this year, but these
began in the early 90s and have never been done. There is a huge
backlog. Each item on the ANTS list has many ramifications. A cross-divisional team from TSD and Gov Docs is
needed to organize and accomplish ANTS corrections in a systematic way
and with adequate staffing. Who might be on the team? This team should benchmark partly by visiting other depositories to see how ANTS are accomplished elsewhere.
UM Libraries has been cited for noncompliance for not having these
corrections done. Staff need training to accomplish ANTS.
- Help Desk -- People don't understand what the Help Desk is for; don't
know what to send there or not to send there. Ways to publicize and
explain it are needed - open forums? Mistakes still are not traced
back to the source of the problem so that retraining and elimination of
future mistakes is not happening. The Web page about the Help Desk
needs to be improved. There is no procedure or guideline about what
types of gov docs problems should be sent to the help desk.
- Staffing -- Selection of staff assigned to processing gov docs and delegation of gov docs work flow within Cat Management is an issue.
