Policy on Format of POST 1999 UM Thesis/Dissertation Call Numbers

Base call number for University of Maryland doctoral dissertations: LD3231.M70d
to which is added student's surname and fore-initials with diacritical marks removed, and, if necessary to break conflicts, successive Arabic numerals

Base call number for University of Maryland master's theses: LD3231.M70m
to which is added student's surname and fore-initials with diacritical marks removed, and, if necessary to break conflicts, successive Arabic numerals

Add the year the degree was granted to the base call number for University of Maryland theses and dissertations, beginning with degrees granted in the year 2000.

(inclusion of year of award approved in Library Managers Forum 6/00)

There will be no retrospective reclassification of pre-2000 thesis/dissertation call numbers.

Though locally designed, UM theses and dissertation call numbers are modeled on LC call numbers and for the purposes of MARC21 tagging these call numbers are coded and subfielded like LC call numbers:

852 0 $h LD3231.M70d $i 2000 Name, A.
852 0 $h LD3231.M70m $i 2002 Other, A.N.

(form of MARC tagging approved by TSD Cataloging Policy Coordinating Team 1/03, rev. 8/12/05

Advantages

  • Theses and dissertations granted in the same year will (1) shelve together in the stacks and (2) sort together when searched by call number in the online catalog. This will allow catalog users and browsers in the stacks to identify easily those theses and dissertations produced in a given time period.
  • Planning and providing shelf space for theses and dissertations should be easier, since, beginning with degrees granted in 2000 and afterwards, the call number range will grow only at the end of the sequence. This will eliminate the need to shift continuously the entire LD3231.M sequence year after year to accommodate interfiling of each new year's volumes.
  • In future years, it will be easier to select volumes by date for transfer to storage, and easier to measure the linear footage required, as each year's volumes will be shelved together within masters and doctoral degrees.
  • Call number conflicts arising from more than one individual with similar or identical names will be greatly reduced, since only names within a given year will need to be reconciled.

Disadvantages

  • The call number will be one line longer, which may cause additional challenges in labeling for a small percentage of volumes.

[from discussion at Library Managers' forum, 4/5/2000]

  • Customers will need to be educated about the change in the shelf arrangement for theses and dissertations, with post-1999 titles filed following the pre-2000 range.
  • Shelvers will need training for shelving of theses/dissertations with dates in the call number
