CREATING AND MAINTAINING TSD WEB PAGES

The Technical Services Division Web site will serve a variety of constituencies and purposes. It will provide information about the Technical Services Division to the general public; models for organization and documentation to colleagues in other academic institutions; contact information to internal and external customers; and the authoritative version of documentation to staff and faculty to use at their desks. The TSD Web Committee will provide the general oversight for the development, improvement, and maintenance of the site. Development of content and maintenance of web pages are responsibilities shared by the various groups and staff in the division.

Establishing Web Spinner accounts:

A Web Spinner account is required to enable staff to create web pages for posting in the UM Libraries' server. Production group leaders will approve who gets Web Spinner accounts within the production group. Production group leaders will request the Libraries' Webmaster to establish the account and the subdirectories to which the staff shall have access. (When staff resigns from the Technical Services Division, the production group leader must also inform the Webmaster to remove the Web Spinner account.)

Creating new pages:

Responsibility for the content of TSD web documentation rests primarily with the leaders and members of the production group, team, committee or other groups where the documentation originated. Members of the originating group will review the new documentation proposed to be added to the TSD Web site. It is recommended that documents serving more than one group reside in a non-production group sub-directory(e.g., "Barcoding instructions" resides in the TSD directory rather than in the Adaptive Cataloging and Database Maintenance sub-directory, although the document may be maintained by a staff in ACDM). When a source group approves a new Web page, the person or group responsible for the file will send the URL to the TSD Web Committee via the reflector tsd-web@umd.edu (with copies to other pertinent staff involved in preparing the documentation) to allow review of the proposed Web page.

Reviewing new pages:

The TSD Web Committee members will review the new web page for the purpose of improving the format, ensuring that it complies with UM Libraries' web authoring guidelines, and ensuring that all links are working properly. Comments will be given within 7 days from the day the file is submitted. The creator of the page will then make necessary revisions and post the page in the appropriate file directory.

Determining links:

The TSD Web Committee, the Planning and Leadership Coordinating Team, or the source group may recommend where a new page will be linked. In general, the author of the page where a link will be created will be responsible for creating the link. Linking to pages or sites outside TSD will be facilitated by the TSD Web Committee by contacting the owners of those pages where the new documentation will be linked.

Maintaining the file responsibilities list:

The Web Committee will maintain a File Responsibilities List which contains a list of all TSD web pages and their authors. Members of the Committee will share the task of updating the list by adding new documentations generated by their respective groups. When staff with responsibility for documents in TSD files leaves the division, the respective Web Committee member shall, in consultation with the leader of the source group, determine appropriate transfer of responsibility for said files. The File Responsibilities List will then be updated accordingly.
