9/4- GovMG. There are some parts of the GovMG collection that are NOT shelved in the public/open shelving. They are shelved in what we call the "core." This would include the Rare, Oversize, LC Doc materials. What you will see in the Catalog is "ask at desk" language in the location text. IF a user needs access to this, please call the Gov Docs general number 301-405-9165. Someone from that staff will retrieve the material. IF no one picks up the call, the user should contact Annie Young. Her business card is at the desk.

9/2- Study Carrels. Tanner asks that we remember to tell patrons to go DOWN TO THE PSD OFFICE (toward the end of that corridor) when applying for study carrels. Apparently he is encountering alot of patrons coming to HIS office instead of further down the hall for that application.

8/27- NEW Log-ins. This morning, we switched the login for Research Port, the catalog, ILLiad, and DRUM to allow students, faculty, and staff to use their Directory ID. This is the same login you use for email, ELMS, ARES, and other campus services.

Students, faculty, and staff must use their Directory ID and all others (special borrowers, Friends of the Libraries, alumni, research affiliates, UMBI) will continue to use their barcode for now. We're working with OIT to set it up so that the "All Others" group will also be able to log in with Directory ID, but that will take longer to accomplish and will not be ready until later in the academic year.

I've attached some more detailed troubleshooting information. The home page have an announcement about this later this morning and an FYI will go out to the campus tomorrow and next week. If you have questions, please let me know. Laura Wrubel

8/26- GovMG Media. All GovMG Media is housed in locked cabinets in the 4th Floor Computer lab. The location of the CD-ROM cabinets in the computer lab is noted on the map of the lab right inside the door. The cabinets are clearly labeled; please note that there is one cabinet that has CD-ROM's with LC call numbers. A set of keys to the cabinets can be found in shelf list cabinet in the SIRS office...last row of drawers, next to the last drawer. The keys and cabinets are color-coded.

8/26- Special Loan forms. We are tweaking instructions for filling out the Special Loan forms. For precision in knowing exactly what copy/piece we are circulating via the Special Loan form, we need the barcode number from the piece that you are allowing to circulate. Therefore, on the special loan form please enter BOTH the barcode number from the piece circulated AND the call number. These should go into the box marked Item No. Furthermore, Deb tells me that some of you are not including the title of the material on the special loan form. Please make sure to include the title in the box labeled Title or Description.

8/26- News on the fourth floor desk merger. Services now provided at the 4th floor GovMG service desk have now moved to the 1st floor effective Friday August 22. There is a newly installed stacks telephone on the 4th floor, and stacks staff will be receiving training on how to locate items in that collection.

Please review information on the GovMG pages (see "button" above) for information about working with that collection.

8/19- Library response to subpoenas and search warrants. Visits from FBI. Probably many of you heard the news about a visit to a public library in Frederick, and FBI seizure of two public computers. This is a good time to review our policies. The Library has a Administrative Memo #41 on reponse to subpoenas and search warrants. We need to keep track of how we should response to subpoenas and search warrants from law enforcement under Patriot Act authority. I have placed a procedural document on our A-Z index under Patriot Act.

8/19- Consolidated printer area. Please take a look at the newly consolidated printing area opposite the McKeldin Info Desk. Notice too the presence of Copy Card ATM's along the wall next to Cindy's office. We are still working on this (including new signage).

8/19- Troubleshooting information. Please take a look at the reorganization of the SIRS/Library Information page. It is particularly important that you notice that there is a link to information relating the merging of services between the 4th floor GovMG desk and the 1st floor Info Desk. Let me know it there are questions or suggestions.

6/9- Citation management software. Just a reminder that there is a library guide to help users who want to use Endnote and Procite to capture bibliographic data. The guide is online and we should be referring users to it.

11/15- Just in case you HAVEN'T seen this yet...go to ITD's page http://www.lib.umd.edu/itd/ and take a look at their new System Alerts and E-Content reporting features.

10/26- E-Content report form. ITD has set up a E-content report form in order to better manage and track the various kinds of problems and actions related to RP and e-content. Here is the link to the form

6/6- Terrapin Express. Remember a TE account can be opened and increased by using a credit card via the Web.

  • 1. Type in testudo.umd.edu in IE or Netscape
  • 2. Click "Financials" on the left side on the Testudo page
  • 3. Click "Terrapin Express Inquiry"
  • 4. Click "View Terrapin Express"
  • Users will receive additional instructions after step 4.

    3/9- Just a reminder about loaning bound journals from McKeldin stack locations. There seems to be some confusion over loaning bound journals from McKeldin stack locations. McKeldin Circulation does 2 hour loans of bound journals to graduate students and faculty without any intervention or special permission paperwork from the reference desk. This is primarily to allow users to photocopy on department copiers.

    10/12-The E-Content Team tells me that they are receiving inappropriate referrals from the McK Info Desk on the matter of users having trouble getting into Research Port.

    Here's what seems to be occurring. A user complains that they can't get into Research Port. We check the "my account" or something else from our desk, find the user "in the system" and then report to ITD/or the E-Content Team directly. THEY discover that even though we see the patron in the "my account" or whatever file we are checking, the patron actually has expired or has some kind of other system block. Remember that WE cannot tell from the Catalog or by talking with a student whether or not there is some kind of user file block. We should always be sending the user over to Circulation asking CIRC to verify that the patron record is active and that there is nothing blocking them from getting to RP. We shouldn't be calling ITD or the E-Content Team until that patron file is checked in Circ. Sometimes Circ can fix the problem on the spot.

    Will one of the SIRS staff please make certain that our students understand this? Our referrals are 1) giving the patron the "run around" and 2) getting E-Content/ITD involved in something before Circ has done ITS work.

    9/27- Stand-alone work station. We now have a single, off-network, stand-alone workstation with working printer behind the McK Information Desk. The purpose is to permit us to load CD-Rom on demand for users.

    11/16- Dry erase markers and erasures. We have a supply of dry erase markers and erasures for use in the group study rooms. If users ask for them, please go ahead and give the user a marker and erasure. Please request that the supplies be returned to the desk. Please DO NOT ask the user to leave an ID or other form of collateral. The supplies are stored out at the Info Desk in the cabinet to the left of the knee hole where the panic button is installed.

    11/15- Requesting In Process books. Please review the process for requesting In Process books from the Catalog. Arlene Klair has requested some changes to the process.

    Please remember that despite the fact that it is TECHNICALLY possible, for users to request these books without mediation, this is not simple NOR are we supporting that process at this time. Therefore, please resume the mediated process of assisting users in this task as described in the procedure on the New Catalog Notes link OR under the SIRS page A-Z index under "In-Process."

    9/22 - More on P4P. If print jobs are not printing out of the McKeldin P4P copier/printers, check the job queue. You can access the job queue with the 2nd button on the display screen. If the ITD Help Desk and our office is closed, please turn off the copier/printer, select the "Quick Restart", and turn the copier back on. Jobs should start printing when the copier fully reboots or the print queue will be cleared. Please immediately discourage patrons from swiping their cards when you know print jobs are not coming out of the copier--or jobs will continue to build in the print queue. We should not be having this problem often.
