Minutes, Digital Reference Committee Digital Reference Committee Meeting Digital Reference Committee Meeting
Feb 4, 2004, Hornbake 4113
10:30-11:30 am

Facilitator: Stahl
Notetaker: Wrubel

Present: Abels, Johnson, Hudak, Roberts, Kaske, Todd, Stahl, Wrubel

Topic 1: Privacy Statement
Joan distributed a draft of the UM Libraries privacy statement. Will credit Univ. of Wisconsin-Milwaukee whose statement was used in the creation of UM’s policy. Next step: Joan will send the revised document to LEC by the end of the week and then will send it to Lori to take to LEC and copy IRS-T. Joan will make suggested changes to introduction and “Information We Collect”, add table of contents links to the top of the document for easier navigation, and put link to administration memo on PATRIOT ACT requests.

With the proposed policy, we’ll list where we envision the policy being linked from on the Libraries web page: Ask a Librarian page, Research Port, etc.

Topic 2: Digital Dateline Lecture
Scheduled for 1:30 to 3:00 for lecture (same time as last lecture) on March 17. Joan has asked Lankes to speak about his vision for digital reference and current and future challenges, such as funding cuts. She’s waiting to hear from him on exact topic. Joan will write up a brief Library Matters article to announce the lecture. Lankes will be available for lunch at 11:30 at Adele’s. Committee members available to join Joan and David should let her know. Joan will give Beth bio, link to photo, and topic for Digital Reference website.

The committee agreed to pursue having a fourth lecture, possibly in the first week of June. Surveys indicated interest in legal topics. Possible speakers are Laura Gasaway and Mary Minow. Eileen will contact them and check about their availability. The first week of June would be a possibility.

Topic 3: AskUsNow and UM Chat Coverage
Beth is working on a better handout for training. Ten new people have been trained and Beth will send them an e-mail about pairing them up with experienced people. There’s a lot of frustration with operators forgetting to sign out at the end of their session and subsequent operators being unable to log in. Neal and Julie will talk with HumanClick about any adjustments they can make on their end. Eileen will send out a reference to a recent article on using instant messaging for chat.

Julie is working on AskUsNow statistics on AskUsNow and she, Neal, and Lori are reading through the transcripts to do a cost-benefit analysis of the service. Neal will send out a link to their presentation from VRD that has basic stats. The analysis could lead to best practices.

Topic 4: IRS-T and DigRef relationship
Dig-Ref will start having a digital reference regular item on IRS-T agenda. Dig Ref members on IRS-T will rotate responsibility for the item.

Topics for future meetings:
Means of digital reference (RefTracker type software, IM, chat software).

Joan distributed an email from Linda about the RefTracker trial and is looking for feedback.
