Staff Printer and Copier Policy November 18, 2004
The Libraries are moving toward a networked printer/copier environment in order to expand services and to promote cost efficiency. As existing stand alone printers are deemed beyond repair a networked printer solution will be implemented for all staff. The number of staff per printer will be jointly determined by each unit and ITD based on geography, volume and workflow. As existing stand alone copiers become obsolete networked multi-function printer/copiers will be installed. In addition to copy services these machines will serve as secondary printers for staff in the event that the primary networked printer is down as well as for large print jobs.
There are circumstances that may require a staff member to retain a stand alone printer. They are as follows:
- a single person office opens directly into a public access area;
- the content of the printing is confidential or otherwise sensitive in nature (director approval required);
- workflow or high volume warrants a dedicated printer (director approval required).
All printer problems will be reported to the ITD Help Desk. If your stand alone printer is beyond repair, ITD will:
- work with you to determine a location for a network printer that is acceptable to all staff in the unit;
- facilitate the installation as it pertains to hardware, network connectivity and power;
- retain the work order opened at the ITD Help Desk to report the original printer failure to track the process until the installation of a networked printer is completed.
Furniture requirements are the responsibility of the unit acquiring the printer.
