Minutes of the Good Will Committee

I. Change in Goodwill Policy/Enforcing present guidelines
Considerable time was devoted to discussing the current policies of the Committee. The committee wanted to eliminate the discord between the policy and the actual activities of its members. The Committee will return to this topic and its next meeting.

Underneath "Function of the Goodwill Committee"
1. Send an appropriate card in case of illness to any staff member on the third day of hospitalization or to anyone out sick for more than one week, under the care of a physician. To be discussed further. The Committee has been sending flowers although the policy specifies only a card should be sent.

2. Provide suitable remembrance (flowers, plants, book "in memory of" or a donation requested "to be sent to" an organization, church, society foundation, or scholarship) in case of death of a library employee or member of the employee's immediate family. Immediate family shall consist of parent, spouse, child, brother or sister. Leave as is.

3. Send congratulations and gift to new mothers (staff or spouse). Leave as is.

4. Arrange and provide staff refreshments for awards and special events. To be discussed further.

5. Assist, host or provide library staff with refreshments for special events and/or ceremonies. To be discussed further.

6. Volunteer Services (volunteer's own time will used, not work time) according to the immediate needs of the particular staff could be offered such as:

a. Provide transportation for the sick staff (going to the hospital, visiting the doctor, or going to the grocery, etc.)
b. Do some household chores while staff is incapable of doing such, especially after surgery when living alone.
c. Cook hot meals for staff who just returned home from hospital.
d. Stay in communication with the staff who is ill just to know, if there is something the Committee can do to help.
Also, may include coordination with other persons and/or groups that will assist an infirmed staff person.
First sentence will now read: "Committee will coordinate volunteer services…."

7. Other Volunteer Services - Committee members may consider other volunteer
services not enumerated here that fit the general intentions of the Committee.
Delete statement.

Add additional statement "Additional items/activities will be discussed and decided upon by the Committee, taking into consideration budgetary concerns and the appropriateness of the request to the Committee's mission."

Add additional statement about retirement parties, as recorded in V below.

Underneath "Sources of Funding"
1. Goodwill Committee Fund Donation - It is a nice way of showing that we care about each other. Since most staff have hectic schedules and may not have time to, for example, visit the sick or send a card or flowers. The donation that the Committee will collect will help take care of the many ways of saying, "we all care". Add something like "Donations enable the Committee to carry out its mission. All staff are encouraged to contribute."

This donation will be in amount of $10.00 which will be solicited from each staff annually or more frequently as the funds get low and need to be replenished. To allow the Goodwill Committee to start implementation of their activities, as soon as possible, they will solicit for donations at the beginning of each academic year (September). An envelope will be delivered for each department on that month to be "passed along" to all staff - the envelope will be picked up by assigned committee members when solicitation is completed for that department.

2. Proceeds from "Garage Sale" which will occur each Spring. Items to be sold will come from donations of small household items, white elephants and used clothing, etc. Items not sold will be donated to a local charity, if the donor designates. Delete this item.

3. Craft/Bake Sale and Raffle/Plant Sale - will occur in early December. A percentage of Crafts sales should be designated for the Goodwill Committee. Raffle and Plant sales depends upon level of interest and staff participation in starting seedlings. Raffle tickets will be sold at $1.00 per ticket, or 6 for $5 during anytime of the year. Prizes could be: gift certificates from Adeles, Bookstore, massages, theater or concert tickets, gift baskets,etc. Change to "Committee will hold an annual craft and bake sale." Current language is too specific.

II. Change in Officers for the Goodwill Committee
George Ramsey has resigned from the Committee; Evelyn Yocco is now the Treasurer. Judy Dillon is the co-chair. Johnnie is going to check with Amrita and Chamisa to see if they are still interested/able to participate in the Committee.

III. Staff Appreciation Day-working collaboratively with Awards Committee
May 14th
To celebrate the five-year anniversary of the awards presentations, the Awards Committee wants to do something special for the appreciation day this year. They asked the GWC to collaborate. Johnnie is going to contact Lupe Fernandes, Chair of the Awards Committee, to arrange for a joint meeting in order to plan the details.

IV. A request for funding support to get petitions to Annapolis
Linda Sarigol, at the suggestion of the Dean, contacted Johnnie requesting that the Committee pay for the photocopying and delivery of the petition signed by Libraries' staff that expresses concern about the budget cuts. State funds cannot be used for this purpose, which is why Sarigol contacted GWC. Johnnie sent a follow-up email to Sarigol asking her to estimate the amount of money needed for this project. Further action about this issue will be handled by email.

V. Payment to Mary Scott for Terry Saylor's cake $29.48/finances
After subtracting outstanding bills, the Committee has approximately $600.00 in its account. Committee agreed Scott should be reimbursed for cake.

There is nothing in the Committee policies specifically addressing the provision of retirement cakes by the Committee. In the past, the Committee has provided a cake, but this action has never been codified. Jennifer motioned that a statement be added to the policy: "The Goodwill Committee will provide a cake for a retiree at his or her retirement celebration." The motion was seconded and passed unanimously.

VI. Presentation at all staff meeting
Members thought that a presentation at the all staff meeting would help staff understand the charge and funding issues of the Committee. Johnnie will contact Jane Williams to get the Committee on the schedule. Tentative agenda for the presentation: discussion of policies; Committee budget update; projects/activities of the Committee.

Johnnie and Jennifer will also draft an article for Library Matters and an all-staff email as other avenues for reaching staff with the items that will be presented in the all staff meeting.

VII. Student Appreciation Day
Deep will find out the dates of this event. (April 6-12). After discussing many options, including sponsoring a pizza party, members decided on an idea suggested by Joan. The Committee will send each student employee a bundle of lollipops with an attached message-something like "Thanks for sticking with the Libraries." Joan will get the supplies and the Committee will put the treats together. Johnnie will get a count of students and a list of supervisors. She will also contact LEC to let them know the Committee's decision. The members decided against the pizza party for a number of reasons. There was a concern about the cost (the Committee paid $273 in 1999 for the party), but the members also wanted to reach all of the students not just those who were available for the party. There are many students who are unable to make the lunch due to scheduling or dietary reasons. This solution seemed more equitable to the Committee.

VIII. Miscellaneous

  • The following items on the agenda were not discussed in any detail: calendar of events and meeting dates for 2003; plans for Welcome Luncheon 2003; Plans for Craft/Bake Sale 2003; Spring event for staff; Partners Training for students (providing refreshments).
  • There is a mail slot in the mail room for GWC; Johnnie is going to check its contents.
  • The Committee needs to send appropriate gifts to two staff members for a death in their families and to one staff member for extended illness.
