Timelines for Library Faculty Annual Performance Review, Faculty Merit Assessment Review, and Promotion and Permanent Status Review

Month Faculty Annual Performance Review Faculty Merit Assessment Review Promotion and Permanent Status Review
January
  1. Faculty member writes end of year self-evaluation and submits to Peer Review Committee (PRC) prior to the end of the year meeting.


  2. Faculty member develops goals for the coming year's workplan (due March 17).


  3. PRC members draft an evalution of faculty member and share it with the individual and the rest of the committee.


  4. Faculty member holds end of year meeting with PRC by February 15 deadline.


Deadline:
January 25, 2008.
  • Applicant's self-evaluation due in Library Dean's office by 5:00 p.m.

January
  • Eligible faculty review dossiers of candidates in preparation for promotion/permanent status discussion and vote.
End of January
  • Eligible library faculty discuss and vote on candidates for promotion/permanent status.

February Deadline:
February 15, 2008.
  • Performance review for 2007 due. Original Signature Form with all required signatures plus the self-evalution and the PRC's summary evaluation sent to FAROC, c/o Libraries Human Resources Office, 6115 McKeldin Library.
  • Faculty member meets with PRC for goal setting (this meeting can take place at the same time as the end of year meeting).
Deadline:
February 15, 2008.
  • Supervisor's evaluation due in Library Dean's Office by 5:00 p.m.
Mid-February: APPSC forwards dossiers to Dean Lowry
Month Faculty Annual Performance Review Faculty Merit Assessment Review Promotion and Permanent Status Review
March Deadline: March 3, 2008.
  1. Workplan for current year is completed. PRC members sign-off on goal-setting phase.


  2. PRC signs off on goal setting phase.


  3. FAROC has received all original forms for previous year.
Deadline: March 10, 2008.
  1. Faculty member sends a copy of Workplan Signature Form for goal setting to FAROC, c/o Libraries Human Resources Office, 6115 McKeldin Library.

  2. Faculty member retains the original form for current year.


  3. FAROC has received copies of all signed goal-setting signature forms for current year.


Deadline: March 17, 2008.
  1. FAROC sends notices for individual faculty members of missed deadline for submission of original forms for the end of the year evaluation.


  2. FAROC sends reminder for goal setting for current year.
Deadline: March 31, 2008.
  • FAROC sends written notices of non-compliance for previous year to individual faculty member, supervisor, Divisional Director, and the Dean of Libraries.
Deadline:
March 14, 2008.
  • Director's evaluation due in Library Dean's Office by 5:00 p.m.
March-April
  • Dean's recommendations forwarded to Provost and President.

April   Deadline: April 4, 2008.
  • FMC submits ranked list of candidates for merit to Dean.
April
  • Dean provides applicants with a letter indicating his decision as well as the results of the votes of the eligible faculty and summary of the nature of the considerations on which the decisions were based.

May Deadline: May 1, 2008.
  • FAROC sends email reminder of mid-year feedback deadline for July 1, 2008.
May 2008
  • Dean makes merit decision, reports awards to FMC and deposits merit documents with Libraries Human Resources Office.
By May 1:
  • All non-mandatory applicants submit a non-binding message of intent to the APPSC stating their intention to apply for promotion and/or permanent status.


  • APPSC appoints IRCs for applicants under mandatory review or who have expressed interest in promotion.

June Deadline: July 1, 2008.

Mid-year review is optional for faculty with permanent status, but is mandatory for those without permanent status.

  1. Faculty member sends mid-year feedback to the PRC. Goals may be renegotiated in light of any changes in circumstances, etc.


  2. Mid-year meeting with faculty member. Can be face-to-face or email.
June 2008
  • Salary letters distributed.
June
  1. Applicants whose cases were voted on in January receive letters regarding final action on the application.


  2. Appeal requests due 30 days after receipt of letter.

July Deadline: July 8, 2008.
  • FAROC has received copies of all signed mid-year review signature forms.
Deadline: July 15, 2008.
  • FAROC sends email notices as necessary reminding faculty of missed mid-year deadline.
  Deadline: Beginning of July
  • Applicant completes dossier and turns in to APPSC.

  • FMC notifies faculty of merit timeline for upcoming year.

  • Faculty member begins preparing end of year self-evaluation and submits it to PRC prior to the end of the year meeting.
