Library Executive Council Minutes of the Meeting - Feb. 24, 2004

1. Topic: Statistics on Journal Usage
Leader: Goetsch
LEC discussed appropriate strategies for the implementation of recommendations from the Journal Usage Study Planning Group. The following issues surfaced: use of hand-held scanners, content of SQL reports, possible appointment of an implementation team, integration of scanned data with Aleph, barcoding current issues already received and yet to be received, impact on staffing.
Outcomes: - Goetsch will confer with CCC about scanning bound journal volumes and report back to LEC.
- Ruschoff will investigate TSD workflow issues associated with the barcoding of loose issues and report back to LEC.
- T. Wilson will determine the magnitude of the development effort in ITD needed for a hand-held barcode scanner solution and report back to LEC.
2. Topic: Preservation Awareness Proposal

Guest: Yvonne Carignan
Carignan highlighted for LEC aspects of a detailed marketing campaign targeting campus faculty, student, and library staff. Among various items requested are: information packets to be distributed to students during orientation; the creation of a logo or image for preservation; “rain bags” with appropriate messages about book preservation (Samples were shared from other university libraries.); screen savers with preservation sensitive messages; development of a preservation “tips” column in Library Matters.
Outcomes: - Carignan will develop a preservation outreach program targeting library staff. Plans already underway to work with EPSL staff on shelving practices will serve as a model.
- The possibility of including the proper handling of library materials in the campus student code of conduct will be explored.
- The Libraries have already acquired “rain bags” through the auspices of the campus Maryland Day Committee. A future partnership with the Maryland Day Committee will be explored to obtain “rain bags” with the Maryland Day logo and preservation awareness statements. These should be distributed at the point of circulation.
- Carignan shared examples of bookmarks with preservation awareness messages from Notre Dame Univ. Approval was given to order a supply of these bookmarks and experiment with using them to communicate essential points about preservation. She will also ask ND if we can do our own print run, using their content but our campus logo.
- Carignan will work with the PR Team on future strategies.
3. Topic: LIMS3 Update
Leaders: Ruschoff, Vikor, Wilson
The following developments were noted:
- There has been some progress with self-check.
- Database cleanup continues. Pinyin has been loaded.
- Work on loading the MARCIVE backlog is continuing.
- UMUC overseas holdings have been loaded.
- CLD is working on a new charter and bylaws.
- Orientation sessions have been scheduled in March on Aleph Version 16.
4. Topic: Pop-ups
- Admin. Memo 40. Participation in the formal mentoring program will be added to the list of activities include in Administrative Memo #40, “Participation in Learning Curriculum and Other Learning Activities.”
- ILL Costs. LPBO, working with Facilities, is isolating some ILL costs (e.g., UPS shipments) to try to determine what the service costs the Libraries. LEC agreed that efforts in this regard should continue. Another area that warrants further study is telecom. Some staff phones may include little used features that could be eliminated and consequently realize some cost savings. PASD and TSD will share with LEC relevant information about this.
5. Topic: Announcements
Lowry shared a briefing from the Provost regarding progress of the campus groups that are investigating efficiency issues. For further information, see the Feb. 3 issue of campus Outlook and the following web address: "http://www.senate.umd.edu/meetings/currentsenatemeetingmaterials"
6. Topic: Agenda for LEC Meeting on March 9, 2004
LEC will meet 9:00-10:30 and 11:30-noon. The following topics will be covered:

- Digital Library Initiatives (DLI)
