LIBRARY EXECUTIVE COUNCIL
Meeting Minutes
October 3, 2006
10:00 a.m. - 12:00 noon

Present: Baughman, Brown, Lowry, Ruschoff (facilitator), Schreibman, Vikor (scribe), Williams (timekeeper), Wray

Topic: Report from the Task Group for Developing a Uniform Approach to Managing Campus Print Collections
Wray was joined by two other members of the Task Group (Carignan and Van Sant).
The report was distributed at the meeting and reviewed for initial comment and questions. Data used for the report was generated in FY05. Some questions were raised about data gathering methodologies and constraints. It was agreed that a key difficulty was making an accurate assessment of current volume growth rates particularly in face of rapid shifts to electronic journals.
Outcomes:

  • The topic will return to LEC on Nov. 7 for further discussion after members have had the chance to study the report. The conclusions of the report will be the focus of that discussion.

Topic: Update on the LEC e-Work Space
Schreibman proposed creating folders on the M-drive for LEC documentation that will facilitate the work of the group between meetings.
Outcome:

  • Schreibman, Lowry, and Fosse will develop a proposal for review by LEC at the next meeting.

Topic: Pop-ups

  • Holiday Party Planning J. Fosse will be asked to solicit volunteers to serve on a planning group and will convene the group, which will choose a chair. Suggested dates will be provided LEC.
  • Digital Librarian Assuming campus approval, a local search for the position will be conducted. The search will be queued in the Nov.-Dec. timeframe.
  • MITH Digital Preservation Symposium MITH is thinking about organizing a spring 2007 symposium on digital preservation and is seeking collaboration with the Libraries in this effort. LEC concluded that MITH will need to develop a proposal that includes some definition of the role(s) envisioned for the Libraries. Schreibman will communicate this back to MITH.

Topic: Announcements

  • Ruschoff reported that a meeting has been scheduled with OIT to discuss near term storage needs for the Prange digital children’s books and other digital objects. For now, the images and objects will be stored on the LAN until a better solution is determined. Cooper, Phillips, Ruschoff, and Schreibman will attend from the Libraries.
  • Vikor reported that the design implementation meeting for the Hornbake HVAC project (supported with NEH funds) was held last Friday. Representatives from the Libraries, campus Facilities Management, campus HVAC Systems, and the design firm (Whitman, Requardt and Associates) were present. There was a review of existing conditions and scope of renovations. The project schedule was also reviewed.

Topic: Agenda for the October 17, 2006 Meeting

  • LEC e-work Space (continuation)
  • Report from the Task Force for Non-Faculty Participation in the LFA
  • MITH Digital Preservation Symposium Proposal
