Meeting Minutes
August 22, 2006

Topic: Venues for C-Team Retreat in 2007
Outcome: Jill Fosse presented a list of options for the 2007 LEC retreat. More information will be gathered about the sites before a final decision is made. Dates for the retreat will be May 30, 31, and June 1. Fosse will also check with campus Travel Services concerning the process for engaging an off-site facility for library business and whether arrangements must be made through that office.

Topic: Update on Current Library Searches
Outcome: Lupe Fernandes presented information on the status of active searches in the Libraries. There are currently nine active searches at this time.

Topic: Approval of New Library Positions
Outcome: Members reviewed positions previously approved and identified additional positions for new searches. A list of positions was created (see attached) within a broad projected timeline. Provisional approval was given for this list of positions. No ranking of these positions has been done except for the processes to begin in September. The start time of subsequent searches will be done at a later meeting. The search process schedule will be set based on the ongoing workload of Libraries’ Office of Human Resources. Consideration and review will also be ongoing as circumstances change.

Topic: Big Ticket Items
Outcome: Directors presented lists of big ticket items for consideration. Members approved this list of items:

  • Learning Curriculum funds for outside instructors for three new workshops, each to be offered twice. ($6,700)
  • Reconfiguration of desks in the Dean’s Office. ($3,200)
  • Bill counter for Photocopy ($4,500)
  • Flammable liquid storage container for Non-Print ($1,000)
  • Map cases for MD Room ($4,485)
  • People counters for Hornbake Library ($4,000)
  • Handicap accessible door opener for Non-Print ($3,000)
Williams distributed the list of big ticket items approved on September 6, 2005 and asked Directors to let her know what items still need to be completed. Williams will analyze the fund status of the Plant Account. LEC set high priority for review of existing security needs in all branches. Williams will ask Bill Hess and Roy Alvarez to expedite this review process and to ensure completion of any needed changes or improvements.

Topic: Pop-Ups

  • Campus Student Technology Fee Grants. It was recommended that a proposal be written for the Terrapin Information Commons. Wray will follow-up with staff to discuss a proposal. There is a September 15 deadline.
  • Campus Portal. The University is creating a campus portal and a campus committee is asking for input. Dave Cooper is on this committee and is organizing a meeting for ITD staff to discuss what is technically possible to do from the Libraries. Ruschoff will ask Cooper to work with Public Services staff to identify items of interest for this portal. It was suggested that the University of Delaware portal be reviewed for possible ideas.

Topic: Announcements

  • Brown reported on commencement of work in late July by the LFA Plan of Governance Task Force. The Chair is Chuck Howell. The Task Force plans to hold a variety of meetings to discuss its work with library staff, leading towards a presentation of a revised document to the LFA at its January/2007 meeting and ultimately campus approval of a revised Plan of Governance document by the end of the new academic year.
  • Brown also announced that the LFA Advisory Council will hold a retreat on Monday, August 28th in the Hornbake Library.
  • Lowry reported on a weekend trip to Boston and Newport for development. He spent time over the weekend visiting with a leading figure in the national historic preservation movement and was joined by Doug McElrath on Monday to evaluate the personal collection. This is a promising opportunity.
  • Schreibman reported that Emily Gore joined Digital Collections and Research on August 14th. She is taking on the management on several digital projects and will be, in due course, liaising with colleagues across the library divisions.
  • Ruschoff reported on last week’s server crash that caused the OPAC to go down. The cause was an unusual series of hardware failures. The recovery effort required round the clock attention to the restore the database and minimize the data loss. The staff did an incredible job and Ruschoff expressed her appreciation for a job well done. Ruschoff also acknowledged and thanked the staff of TSD for re-entering the work that was not recoverable. The Acquisitions Production Group reports that all orders placed on August 15th were salvaged, however, the FRS transfer of payments and vendor records is still being addressed by ITD. The Adaptive Cataloging Production Team rescued and re-entered their work and the Bindery End Processing Team were able to reset most "in process" statuses for materials heading to the shelves in McKeldin and to branches. A notice went out to all staff asking that books shipped on August 15th be checked to ensure that the status was cleared.
  • Wray announced that the Government & Geographic Information Services (GGIS) Task Force will soon be launched. Details will be shared with library staff and the region after the task force has been appointed.
