Meeting Minutes
August 8, 2006
10:00 a.m. – 12:00 noon

Topic: Use of University-Funded Cell Phones
D. Wright and S. Taavoni were guests for the discussion. Available minimum guidelines (for reimbursement) only speak to additional minutes used beyond the specific phone plan. The Libraries need to be able to document steps taken to comply with state and campus policies when exceeding the allowable minutes of a phone plan. Since the University policy on funded cellular phones is still in draft, the following outcomes are to be regarded as interim.
Outcomes:

  • Ruschoff will investigate possibility of individuals on-call in ITD sharing a phone. Issuing of phones will be based on justified need.
  • Reimbursement will be made only for all minutes over the applicable plan for the phone, unless the overage can be justified as work-related. (This will not apply retroactively unless determined otherwise by the Dean of Libraries.) S. Taavoni and T. Smith will monitor.
  • All existing phone plans will be evaluated. Some plans may have unneeded features for which there are premium fees. Consolidation of plans will be achieved as fully as possible.
  • J. Williams will review the above outcomes with the Dean of Libraries.

Topic: Space in McKeldin to be Vacated by Prange Collection
Guests from SPAT were Y. Carignan and B. Hess. Caveats were expressed about using Rooms 107/107A for collections other than those housed temporarily or in transit.
Outcomes:

  • Gifts-in-kind can go to Room 107/107A.
  • Stacks Maintenance can go to Room 107/107A.
  • Bindery/End Processing can go to Room 107/107A.
  • B. Hess will work with the above units about their moves (the when and how, etc.).
  • Café Storage can go to Room 113.
  • T. Wray will explore with Cleaning Services staff using at a later date the current Access Services office near the McK loading dock for storage and supplies.
  • B. Hess will initiate a work order to investigate ventilation concerns in Rooms 111A and 117/117A.
  • C. Ruschoff and T. Wray will consult with D. Cooper, M. Wilkerson, and C. Todd regarding the advantages/disadvantages of considering a move of Copy Services (or some components, such as equipment) to the basement.
  • S. Schreibman will discuss with the Dean of Libraries the possibility of moving DCR to the basement.

Topic: LEC Reflector vs. Listserv
Outcome:
Based on the benefit of having LEC e-mail archived on an OIT site, LEC approved switching from a reflector to a listserv.

Topic: Pop-ups

  • $700 administrative travel was approved for S. Baykoucheva to attend the American Chemical Society meeting in her capacity as editor of the Chemical Information Bulletin.
  • Replacement of the broken projector in McK 2109 was approved.
  • Approval was given for the hiring of a half-time temp. for three months to assist LPO with work on searches.
  • $1300 administrative travel was approved for G. Weber to attend a technical training seminar offered by the Blonder Tongue and Toner Cable Equipment, Inc. This firm manufactures the equipment used in Nonprint for the Academic Campus Cable System and the Dial Access System in Hornbake.

Topic: Announcements

  • Williams reported that the draft statement of merit philosophy and process in the Libraries is being reviewed by University Human Resources for consistency with campus practice.
  • Reported by Wray: As a step toward the creation of the Terrapin Learning Commons in McKeldin Library, the Information Commons Committee (http://www.lib.umd.edu/groups/infocommons/home.html) is preparing to release the TeamSpot software for public use. The software will allow patrons to work together on a project, using their own laptops plus a host computer and display screen. TeamSpot can enhance teamwork and collaboration, and allow for more efficient group communication. Among other things, groups will be able to create and edit documents together, and share files across computers (to the host computer as well as between laptops). TeamSpot will be installed this month in the 2nd floor elevator lobby and in a group study room on the McKeldin Library 2nd floor.
  • Reported by Wray: Alan Mattlage has received word that the College of Arts and Humanities will match one-for-one the direct expenses for an FY07 Faculty Authors Book Series. The shared direct costs will be $600 for refreshments and $400 to create posters for 4 author events. The Humanities Team will pilot the series during this upcoming academic year.
  • Reported by Wray: The Information Literacy Team is in the process of reconfiguring itself. ILT is refining its mission statement to more clearly articulate its role in relation to User Education Services and the subject teams, and will remain a representational team. ILT will send information out about the changes in the near future.
  • Baughman distributed copies of the previously announced report on “Campus Climate for Lesbian, Gay, Bisexual, Transgender (LGBT) Faculty and Staff.”
  • Reported by Schreibman: The library will be hosting an afternoon seminar on Samuel Beckett and an evening performance of his work on 6 October 2006 in honor of the centenary of his birth. Both events will be free to the public.
