SECT Minutes, January 10, 2006

Agenda Review

The agenda was reviewed and approved.


Minutes were approved

Maggie introduced the new Staff Development Graduate Assistant, Jennifer Kinniff (Jenny). She is from Baltimore and is in the HILS program at CLIS.


Six Month Survey Progress Report

Maggie shared the Sixth Month Survey Progress report on Summer 2005 Learning Curriculum Courses. A survey will go out on January 17. She will be generating the initial surveys, but it will eventually be Jenny K.’s responsibility to send out follow-up surveys. The goal is to have at least a 50% rate of return. In the March SECT meeting, we will review the January survey returns.


New Student Assistant Orientation

Johnnie Love gave an overview on the plan for providing new student assistant orientation. Dates scheduled for orientation are: February 7, 9 and 10. We will be using the same format as in the fall. The challenge has been to find a time that is compatible and appropriate for student work schedules.


Marketing Learning Curriculum Activities

Sue Koutsky facilitated the discussion on marketing. She shared the plan that Preservation is using for its PR plan and identified the following areas for focus:

  1. Define the problem
  2. Define the audience (traits for the various audiences)
  3. Analyze our audience
    Are there restrictions? (time, work load)
    Supervisor’s role in encouraging learning
    Division director’s role in supporting learning
  4. Develop strategy

The discussion for the SECT Meeting began with defining the problem. (see also Flip chart Notes)
Are we getting our message across?
What ways are we communicating? LM articles, flyers, calendars, emails
Do people ignore the use of LM?
Eye witness accounts (SKoutsky)
Emails –send reminders
PRDs and OCEs
Make supervisors eyewitness accounts
A concept that should be promoted for all staff is that learning is a part of getting your work done.
Some feel there is not enough recognition of the value of continuous learning on the part of supervisors and staff.
When is the best time for having LC workshops/sessions? Alternate times of workshops

Jennifer Hatleberg will make a list of the problems as suggested and send out to the group before the next SECT meeting. We will discuss audience for our next SECT meeting on PR for Learning Curriculum.

Joyce Chestnut was not able to attend, but sent the results of her online survey of ITD staff. She asked whether or not listing training sessions in Library Matters was an effective way to reach staff. Of the 12 responses received, 6 noted that they read all articles/announcements online and 4 read it if the index looks interesting. One comment of note: “If you want to get my attention concerning upcoming training sessions and programs, please send out a direct e-mail and not bury the announcement in Library Matters.”


Round Robin

Johnnie Love mentioned the Supervisors’ Round Table meetings coming up to discuss the integration of OCEs (Organizational Citizenship Expectations).

Maggie mentioned that Allan Rough will be the representative to SECT for the Special Collections Orientation and Training Team (SCOTT) in February. The group decided to send rotate the responsibility and send a new person each month. One concern was that this decision could present a challenge for the group as they try to provide continuity for their communication with SECT and input and active participation.

Maggie stated the Learning Curriculum is marketing seven programs for the month of January. She will be sending out email reminders for “Giving and Receiving Feedback”, scheduled for January 18th.
