SECT Minutes, May 8, 2007

Present: Sue Baughman (Notetaker), Joyce Chestnut (Timekeeper), Bob Kackley, Jenny Kinniff, Liz McAllister, Christine Morris-Sumlin, Maggie Saponaro, and Charles Wright (Facilitator)


Topic: Agenda Review and Approval of April Minutes

There were no changes to the agenda. The March minutes were approved as distributed for posting on the SECT web site.


Library Staff Instruction Statistics Form

Jenny thanked everyone for testing the form and for their feedback. Holly St. Germain (ITD) has completed the changes. There is an opportunity for any last feedback on the form: http://www.lib.umd.edu/cgi-bin/yellowsheet.cgi. Jenny will check with Holly about access to the form in order to update it when needed.

Next Steps:

  1. Jenny will cross link this form to the User Education Library Instruction Statistics Form and vice versa. She will also add links on the Staff Learning and Development and SECT web pages.
  2. Jenny will check with the Web Services about adding a link to the form on the Staff and Organization page under Reporting.
  3. Liz will write an article for the Library Matters Blog and share it with the team first before submitting it for publication. She will also send an email alert to staff that the article is available on the blog.
  4. Jenny and Bob will present the new form at the June All Staff Meetings to be held on the 21st from 10:00am-11:30am and the 26th from 2:30pm – 4:00pm. Jenny will invite Jenny Hatleberg to join them since she helped create the form.
  5. A notice will be included in the July InterSECTion.
  6. Jenny and Maggie will send reminders to staff trainers when they see an announcement about an upcoming event.


Benchmark Statistics Update

Jenny distributed a chart noting the percentage of capacity filled for workshops for the past three years. After discussion, the team agreed to use 60% as the benchmark for 2007 workshops. Jenny will update the team periodically about how this is going. She asked for additional benchmarks for the year and it was decided to focus on the percentage of library staff who have taken a workshop, with a breakdown of required workshops versus elective workshops.

Update on Spring Semester LC Programs

There are three programs scheduled in May including Safety and Security (May 17), All About Focus Groups (May 22), and Training for Supervisors on Union Agreements (MOU Training) (May24). There are seats available for all three workshops.

For the summer months, the following programs are in the works:

  • Project Management: the outside trainer has provided an outline for the workshop.
  • Desktop Drivers Ed: Maggie is working with the Desktop Services Committee to schedule this.
  • Online Travel System Training: Denise Wright will be offering this training.
  • Meeting Management: Maggie and Cindy Todd will conduct this workshop.
  • CPR and First Aid: this training is available through Campus Recreation and offered as separate half day sessions or as a full day combined. Maggie is investigating the fees and possible combinations of sessions.
The team discussed the need for staff to take the Safety and Security Workshop if it has been a number of years since they took the session. There was a general sense that this is a good idea.


SECT Membership

Maggie shared that terms of membership run from June to May and it is time to renew memberships or add new people. Jane Williams is rotating off the team. Joyce, Bob, Christine and Liz are staying on the team. Charles will let Maggie know. Maggie will check with Sue K., Diane, and Amrita. [NB: Both Diane and Amrita have since said yes, Maggie is awaiting a response from Sue K.]The monthly meetings will continue to be held on the second Tuesday from 1:00pm to 2:00pm. There will be no meeting in August. The role rotation is included in the minutes and will be posted on the web site.

Round Robin

  • Bob: he conducted training on dealing with external customers along with Lulu Barnachea at Shady Grove on April 23rd. It was a two hour session for any interested staff at Shady Grove.
  • Maggie on behalf of Jenny: the SECT web site has been redesigned. Check it out and give Jenny any feedback.
  • Joyce: the reorganization in ITD has things in a bit of flux, but work is getting done.
  • Sue B: the call for participants for the Core Competencies for Supervisors retreat has resulted in a good response. This is a first step in several to identify expectations for anyone in a supervisory position.


June SECT Meeting

The June 12th meeting has these tentative topics in addition to the regular items: Year end review, Outcomes Based Evaluation update, brainstorming topics for future issues of InterSECTion and quotes, and an update on Summer Programs.

Pending topic for July is to debrief on the ALA conference.
