SECT Minutes, October 10, 2006

Agenda Review/Minutes Approval

Jennifer Hanna – who was going to lead the “Marketing Plan” agenda topic is out ill, so the topic was recast as a review of the marketing “progress chart.” Jennifer will be invited to the November SECT meeting to address this topic.

September Minutes were approved and will be posted on the website.

No other agenda changes/additions.


Marketing Plan

The group reviewed an updated “progress chart” as to the activities that have taken place since last month. Activities included preparation of a listing of all supervisors who have not taken Memoranda of Understanding (MOU) training – followed up by a personalized e-mail to these supervisors. Jenny Kinniff and Maggie Saponaro will attend the November 14th LEC meeting to discuss how the Learning Curriculum and other activities can/should be incorporated into work plans and PRD’s. They will report on the results of this meeting at the November SECT meeting. Jenny K. reported on the feedback received via the online surveys – which now includes an option for survey respondents to have their comments on the workshop they attended attributed to them. Out of 30 survey responses, only two individuals have provided their contact information. The option to provide contact information will be kept on the surveys through the fall semester – but will be revisited in the spring. Maggie noted the Learning Curriculum Team is working on “welcome” letters for new faculty, staff and Graduate Assistants, outlining training opportunities available to them. Student assistants are also welcome to attend any Learning Curriculum programs related to their work.


Capturing Statistics for Other Learning Programs

Maggie provided an overview of how there is currently no means to capture statistics with regard to learning activities other than those sponsored by the Learning Curriculum. A copy of the Instruction Statistics form through which User Education tracks library instruction sessions was distributed to the group (http://www.lib.umd.edu/cgi-bin/pinksheet_dev.cgi), with the goal to be to revise this form to capture statistics for internal training. Jenny H. provided an overview of how the form works, the role User Ed has in “cleanup” and maintenance of the data, and noted that ITD (Paul Hammer) was responsible for the “back end” [programming aspects] of the form. The current form allows instructors to see their cumulative statistics, and can be sorted by the individuals’ name. The group brainstormed several possible options for what types of instruction programs should be included. These were:

  • Orientations to groups (New Student, New Staff, etc.)
  • Travel Training
  • Tours
  • Peer Training Workshops (giving an option for “name of workshop”)

A distinction would need to be made on the form between basic and fundamental on-the-job training. Diversity Brown Bag lunches or MITH programs would not be included on the form. However, activities such as presentations by the Digital Reference Committee, ArtStor training would be. An “other” category for training will be included to capture such activities. Jenny H. and Bob volunteered to assist Jenny K. in reworking the existing form, and will report back to the group. Once the form is complete SECT can introduce the form at an All-Staff session.


Round Robin

  • Liz – Noted the Digital Initiatives Team and the Special Collections Orientation and Training Team (SCOTT) are developing a scanning workshop for Special Collections staff, which will be held on October 18th. SCOTT hopes to later make this program available to all Library staff. The program will cover how to use a scanner, how to interpret the scanning interface, and how to use the Special Collections Access database. There are currently 26 participants registered for this session.
  • Johnnie – Noted there are a number of new staff in the Libraries and she is going to schedule a group orientation soon. She is also continuing new student orientations on a monthly basis.
  • Jenny K. – Reported that there are still seats available for the PowerPoint Overview session, scheduled for Thursday, October 12th, and distributed a listing of other programs scheduled through December.
