Scanning Task Force Charge

(February 2007)

Over the past year there has been a substantial increase in scanning activities at the UM Libraries. Concurrently, a need has been identified to standardize equipment, review and augment the best practice documentation developed at DCR, and develop and offer staff training.

This task force will explore the current situation throughout the Libraries and make recommendations to create efficiencies in library-wide practice for scanning for archival purposes, patron request, electronic course reserves, faculty document delivery, and ILL, including cost recovery models. The Task Force will review models from other institutions in developing their proposal for a more strategic vision for library-wide scanning in the areas of: 1) hardware; 2) software; 3) standards; 4) organization.

Standards recommendations will include recommendations for preservation quality images and accompanying metadata. Given no intellectual property impediments, a workflow will also be explored which would allow scanning carried out for ILL to be deposited in the Digital Collections repository or made available on a cost recover basis. Organization recommendations will include issues of staffing and training.
