Context

The Libraries' web site is generally mature, stable, and functional. However, a lot more is needed for the proper operation and development of the web site. Currently, library staff members are at liberty to create pages on the web site without any authoritative review. The process by which web content is created and maintained needs to be reviewed and revamped. Also, the enhancements needed for the web plus the amount of web application development that is requested will always exceed available resources. Input from staff into the prioritization of these activities is needed. The Web Board has been disbanded by the LEC, but has not yet been replaced.

Recommendation

Establish a permanent non-technical ten member Web Administration Committee (WAC) to address web site administrative issues. The members of this committee are expected to approach their duties from a macro-oriented library-wide perspective rather than as representatives of a unit. These duties will require all members to commit their time beyond the conference room by working on individual assignments or in working groups. This committee will be answerable to the LEC and all policies must be endorsed by the LEC prior to implementation. The Director of ITD will function as the point of contact with the LEC.

Charge

  • Design a non-technical model for administration of the web site.
  • Establish governing policies pertaining to the development and maintenance of web pages.
  • Create specific guidelines and procedures for the aforementioned policies.
  • Determine the training necessary for staff to be competent in the creation and maintenance of web pages.
  • Prioritize application projects with emphasis on benefiting the patrons.
  • Plan user studies.
  • Identify problems in the site and recommend changes.

Membership

  • Four permanent seats: Electronic Resources Manager, Web Designer, Web Services Manager, and Computing Services Manager as co-chair.
  • Seven seats with two year terms.
  • Two seats for at-large staff.
  • Five seats for staff with public service responsibilities regardless of division including the co-chair.
