Unprocessed Collections

Some special collections materials are unprocessed. Unprocessed collections do not have a detailed finding aid available, and therefore cannot be requested directly from the catalog or archival finding aid.

Contact us before submitting a request for unprocessed materialsSpecial collections staff can work with you to identify materials of interest within an unprocessed collection. You can request to view those items in the reading room, or submit a duplication order to have copies made.

Requests for Unprocessed Collections

To begin, register online for a Special Collections Account

To view materials from an unprocessed collection in the reading room, follow the steps below.

  1. Log into your Special Collections Account.
     
  2. Select “Manual Request” from the menu.
     
  3. Fill in the following fields (* is a required field):
     
    • *Title
    • *Is This An Unprocessed Collection?
      • Choose "Yes"
         
    • *Library
      • Choose “Maryland Room” for materials from Special Collections and University Archives
         
      • Choose “Special Collections in the Performing Arts” for materials from Special Collections in the Performing Arts (SCPA)
         
    • *Call Number
      • If you are requesting archival material, put “n/a”, unless otherwise instructed by special collections staff.
         
    • Volume/Box
      • If you are requesting archival material, please list the series and/or box number.
         
      • Please request one box/item per request.
         
      • Start a new Manual Request to add additional boxes/items.
         
        • Or, after submitting your request for the first box/item, open the request by clicking on the TN number from the list on the main menu of your special collections account. Select ‘Clone Request’. Then, update the cloned request with the new series/box number and submit the request. This helps save time of re-entering the title and other information in a new request.
           
      • If you are requesting a publication, please indicate the volume number.
         
    • Special Requests/Questions?
      • Use this field to communicate any additional information about this order to special collections staff.
         
    • *Schedule your visit by selecting a date for your visit.
      • Some material may be located offsite or require additional screening, and may take up to 4 days to retrieve. 
         
  4. Click “Submit Request”

Please Note:

  • You may request to view up to 12 boxes/items in the reading room. You can also save additional requests to your account by selecting 'Keep for my Review'. Once you have finished with your first 12 boxes, these "Unsubmitted Requests" can be submitted to special collections staff by selecting "Edit Request", then "Schedule Retrieval". 
     

To order copies from an unprocessed collection, follow the steps below.

  • Please review our duplication policies for fees and copyright information before placing a duplication order.
  1. Log into your Special Collections Account.
     
  2. Select “Manual Request” from the menu.
     
  3. Select “Switch to Duplication Order” in the upper right corner
     
  4. Fill in the following fields (* is a required field):
     
    • *Title
    • *Is This An Unprocessed Collection?
      • Choose "Yes"
         
    • *Library
      • Choose “Maryland Room” for materials from Special Collections and University Archives
         
      • Choose “Special Collections in the Performing Arts” for materials from Special Collections in the Performing Arts (SCPA)
         
    • *Call Number
      • If you are requesting archival material, you can enter “n/a”, unless otherwise instructed by special collections staff.
         
    • Volume/Box
      • If you are requesting archival material, please list the series and/or box number.
         
      • Please request one box/item per request.

    • Inclusive Pages
      • Indicate the page number, folder numbers, or item numbers you are requesting to have copied.
         
      • If you are requesting copies of audio-visual materials, you can enter “n/a”.
         
    • *Format
      • Choose the format you want to receive.
         
    • *Shipping
      • Choose “Digital Download” to have the item delivered directly to your account for download.
         
    • *Service Level
      • Standard delivery takes about 10- 15 days to complete.
         
      • If you choose Rush delivery, please indicate in the notes field when you would like the order completed. If you need something immediately, be sure to contact us beforehand to verify the order can be completed in your requested time frame.
         
      • Please note that we cannot guarantee Rush delivery. There is a $50.00 fee for orders needed within 1 to 3 business days. 
         
    • *Project Description
      • Briefly describe the project the materials will be used for. For example, “publication” or “personal research”.
         
    • Special Requests/Questions?
      • Use this field to communicate any additional information about this order to special collections staff.
         
    • Click “Submit Request”

Please Note:

  • Special Collections staff may contact you to arrange payment or discuss the details of your duplication order.
     
  • You will receive an email once the order is completed.
     

Track the Status of Your Requests

Once you place your request(s), you can check the status anytime from your Special Collections Account.

  • Requested items listed as "Item on Hold" are ready for you to view in the reading room.
  • Duplication orders will be included in the "Delivered Items" menu once they are complete and ready to be downloaded.

View Materials in the Reading Room

Visit the appropriate reading room to view the items you have requested. The librarian at the desk will ask for your name, bring out the materials you have requested, and explain guidelines for handling materials.

Materials from Special Collections and University Archives collections, including books and archival materials, can be accessed in the Maryland Room, the reading room located in Hornbake Library North.

Materials from Special Collections in Performing Arts and the International Piano Archives at Maryland are accessed in the Lowens Room in the Michelle Smith Performing Arts Library.
