Before Your Visit

Before scheduling an appointment, email askhornbake@umd.edu to discuss your research interests with Special Collections and University Archives staff. Our staff can provide remote reference assistance if you are unable to visit to the Maryland Room.

Register for an Account

All researchers consulting Special Collections and University Archives materials must register for a Special Collections Account

Request Materials

Place requests for the boxes/items you plan to consult in the Maryland Room using your Special Collections Account

  • You may request up to 12 boxes/items per visit.
  • All requests must be submitted at least 3 days prior to your scheduled appointment.
  • Due to limited staffing, you will be unable to make requests for additional boxes/items during your appointment.
  • Locate items in the archival collection you would like to request.
    • Requests are made at the box level only. Once you identify a folder or item you wish to view, you must request the entire box that it is located within.
  • Click "Request Box”, located at the top of the record.
  • Click “Request Box” on the page displaying the entire contents of the box to confirm your selection.
  • You will be prompted to sign in to your Special Collections Account
  • Complete your request by selecting the item(s) you wish to use, choose a date for your visit, and click “Submit Information”.
    • Your request will not be submitted to Special Collections staff until you select a date and click "Submit Information".
    • You can also choose to keep you request as an "Unsubmitted Requests" in your account and submit it at a later date. This is helpful if you have already reached your limit of 12 active requests.
Please Note:
  • If requesting copies, open the request from the “Request in Processing” menu on the left-hand side of the screen. Select “Clone to Copy” at the top and fill out the duplication request form.
  • Material from unprocessed collections will require staff assistance request. Collections are identified as unprocessed in the Use and Access to Collection section of the finding aid. Contact us to request to view material from an unprocessed collection.
  1. Locate items you would like to view.
    • Material located in Special Collections and University Archives will have the location "UMCP HBK Maryland Room", "UMCP Severn Library Special Collections" or "UMCP Severn Library University Archives" listed in the record. 
  2. Click on "Request from Special Collections" under "Collection Availability".
  3. You will be prompted to sign in to your Special Collections Account.
  4. Once you sign in, a request page will appear with the item information. Verify that the information is correct and include specific volume, issue and/or date information. Include any additional helpful information in the "Special Requests" field of the form.
    • To request copies, select "Switch to Duplication Order" at the top and complete the form.
  5. Schedule your visit by selecting a date for your visit. 
  6. Click “Submit Request”.

    • Material located in Special Collections and University Archives will have the location "UMCP HBK", "UMCP Severn Library Special Collections" or "UMCP Severn Library University Archives" in the "Location" of the record.
  2. Click "Request from Special Collections".

  4. Once you sign in, a page will appear with the item information. Verify that the information is correct and include specific volume, issue, and/or date information. Include any additional helpful information in the "Special Requests" field of the form.
    • To request copies, select "Switch to Duplication Order" at the top and complete the form.
  5. Schedule your visit by selecting a date for your visit.
  6. Click “Submit Request”.

Review Campus Safety Guidelines

Visitors to campus must comply with all follow university guidelines for returning to campus, including:

  • Perform daily symptom monitoring. 
  • If you are not vaccinated, you are required to wear a face covering over the nose and mouth at all times while inside Hornbake Library.
  • Wash your hands frequently or use hand sanitizer. 
  • Follow all safety guidelines and signage

During Your Visit

Check In

  • Arrive on time at the start of your appointment.
  • Call 301-405-9212 to alert staff to your arrival.
  • Bring a government or university-issued photo ID.
  • Follow all posted signage and safety guidance.

Inside the Maryland Room

Place your personal belongings on a marked table inside the Maryland Room. 

  • Pens, bags, coats, scarves, gloves, and other personal belongings should remain on the table during your visit.
  • Food and drink is not permitted in the Maryland Room.
  • Pencils, laptops (no bag), notebooks and/or books, Digital cameras (no bag), and cell phones are permitted at your assigned research desk.

The materials you requested will be placed on a cart at your assigned research desk.

  • Use wipes provided by the Libraries to clean your work area before departing.
  • View one box on the research table at a time.
  • Remove one folder at a time.
  • Use an out card to keep track of the folder you remove from the box to ensure folders stay in order.
  • Maintain the existing order and arrangement of folders in the box, as well as items in the folders.
    • Do not remove items from a folder.
  • Leave material flat on the table, turning pages gently one at a time.
  • Use gloves when handling photographs.
  • Do not take materials out of the reading room.
    • Staff monitor researchers entering and leaving the reading room.
  • View up to 3 items on the research table at a time.
  • Keep all other objects clear of the items.
    • Do not take notes on top of material, lean or press down on material.
  • Do not fold pages, force binding open, or prop bound items open.
    • Foam book cradles and book weights can be provided for oversize or fragile items.
  • Use care when turning pages.
  • Consult the staff in the Maryland Room before scanning any materials on the book scanner.
  • Do not take any materials out of the reading room.
    • Staff monitor researchers entering and leaving the reading room.
